About the role
The Office Administrator O4 is responsible for overseeing and coordinating the broad administrative functions of a fast paced and dynamic office within a competitive service company. This position will work in a safe manner in accordance with the ALS Health and Safety Program.
Responsibilities
- Responsible for assisting with front desk coverage, ensures front desk in not left unattended for extended periods of time.
- Provide assistance answering and directing incoming calls, take messages when necessary.
- Assist in conducting safety orientation with visitors.
- Order and control office supplies for the site.
- Periodically audit and maintain records to verify, correct, delete, re-enter data and purge files to eliminate data duplication.
- Create and submit the workorders into the ALS – GEMS system for the incoming samples.
- Process requests for fuel card access for new drivers, lost cards, new vehicle.
- Maintain accurate fuel card and vehicle logs.
- Assist Managers and other staff to complete expenses reports as needed.
- Assist with the maintenance of the branch business licenses and permits.
- Maintain contractor management information.
- Assist with the purchasing of supplies and consumables in accordance with the ALS – SOP's
- Receive, code, upload invoices into the accounting system for approval by the branch manager.
- Assist travel arrangements as necessary.
- Assist with training setup and coordination.
- Schedule applicant interviews and tours
- Assisting in completing reference checks in the hiring process
- Assist in making copies of new hire orientation packets.
- Hand out new hire benefits packets
- Complete employee training logs monthly
- Assist in auditing employee training records.
- Monitors and audits employee testing and training records to ensure recertification before expiration.
- Tracks and schedules annual physicals as required.
- Organize and assist in facilitation of on-going employee training.
- Assist in organizing and planning employee functions such as company picnics and holiday parties.
- Responsible for administering employee bus program.
- Assist with set up, activation and deactivation of security alarm codes and door access cards.
- Maintain a positive work environment through active team participation and a focus on quality customer service.
- Observe established safety regulations and comply with all ALS health and safety policies and procedures.
- Other duties as assigned.
About you
Strong customer service focus, interpersonal and organizational abilitiesPleasant and professional telephone mannerExcellent English communication skills both written and verbal.Fluency in Spanish would be a strong asset.Minimum of 1 year's office related experience or reception experience.Completion of an office administration certificate or diploma preferred.Some HR and benefits background would be an asset.Dayforce experience would be an asset.Experience with data entry would be an asset.Required Qualifications
