Position Title : Event Operations Manager

General Summary of Position : Reporting to the Director of Event Operations, the Event Operations Manager will
be responsible for the planning and execution of all Audubon internal events. Such events include but is not limited to
Swamp Fete, Celebracion Latina, Zoobilation, Scales and Ales, Boo at the Zoo, Zoo To do, Sealabration. Additionally, the
Event Operations Manager will partner with external clients for events and festivals held in Woldenberg Riverfront Park.
This position acts as a liaison between event clients, vendors, internal Audubon Nature Institute departments, and Audubon
partners, for events on all properties.
To deliver on the Audubon mission, the Event Operations Manager will :
Provide an internal guest experience of outstanding quality.
- Responsible for generating new festivals, inclusion events, community relations events and building clientele year
over year in partnership with the Director of Event Operations.
Participates in planning of all internal Audubon events with departmental teams such a Development, Learning andEngagement, Membership and Marketing
Conduct and coordinate meetings with all clients, both internal and externalUpdate departmental event calendar and send updates internally as events are booked.Collect and verify event insurance, permits and documents as they are due to Audubon for festivals.Assist with planning and conducting Site visits with potential clients for festivals and events.Provide input in the development of the departmental annual budgets.Collect and compile competitive data regarding services and rentals.Act as a liaison between event client, vendors, and internal Audubon Nature Institute departments; ensure customersatisfaction through attention to detail, excellent service skills and the ability to lead and take initiative.
Attend all In-House operational meetings, as well as all departmental operations and production meetings.Coordinate with external security teams to ensure safety procedures are being followed and communicate Audubonsecurity plans with clients.
Continuously troubleshoot and address issues during events.Create and distribute all departmental event documents.Be able to work independently and autonomously to meet all clients’ needs while upholding the Audubon Mission.Operate a financially self-sufficient collection of museums and parks.
Continuously cultivate revenue opportunities with rental services, equipment services and cost savings initiativesWork within the budgeted parameters of all departments when planning and producing internal eventsStreamline and assess rental fee structures for all components to include, but not limited to rental fees, electrical fees,and labor fees
