Overview
Join our Litigation Practice as a Legal Support Specialist located in our Dallas, Texas office. This role will be based in our Dallas office, on an in-office basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Business Director.
The Legal Support Specialist provides high-level secretarial and administrative support to four or more attorneys. The role supports litigation cases from onset through post-trial, including document production and management, data mining, research, and organizing case files. Responsibilities include preparing, organizing and maintaining deposition materials and summaries; assisting with trial and mediation preparations; may enter time; and assisting with document production including creating and editing various legal forms, correspondence and documents. Candidate should also be flexible to work overtime as needed.
Key Responsibilities
- Handles scheduling and travel arrangements : court appearances, depositions, arbitrations, mediations, client meetings and conference calls; coordinates lawyers' travel arrangements; processes travel reimbursement; maintains calendar and due dates for lawyers as required.
- Organizes and coordinates flow of information : sorts, reads and annotates incoming mail and documents; attaches appropriate file to facilitate necessary action; determines routing and signatures; answers phones and directs callers as needed.
- Types and composes general correspondence, memos, legal documents, faxes, reports, etc. from various sources; prepares communications outlined by lawyer; ensures accuracy and clarity of final copy; organizes materials for lawyers in draft format; dispatches correspondence in a timely manner.
- Prepares draft documents such as briefs, complaints, motions, subpoenas, and summonses using firm templates; prepares motion binders and special working binders.
- Formats documents for court filing requirements and coordinates multi-document filings in Federal, Circuit and State courts, including E-filings—must be able to E-file independently.
- Establishes and maintains filing and records in hard copy and electronic formats; retrieves information and archives files as requested.
- Enters lawyers' time as needed and submits to accounting by month-end deadlines; assists with client billing as required.
- Conducts research and abstracts information to support meetings, projects, and reports.
- Notifies appropriate parties about status of assigned lawyers and availability to assist with overflow work. Assists attorneys in all stages of litigation from onset through post-trial.
- Manages calendaring requirements for each matter and maintains case calendars.
- Oversees organization and utilization of documents and case materials; maintains client-presentable work areas and case rooms.
- Assists with discovery, including deposition preparation, propounding and responding to written discovery, and expert discovery preparation.
- Oversees document reviews; tracks progress and results; prepares documentation regarding criteria changes.
- Performs analytical tasks such as preparing witness interview memoranda, reviewing and summarizing documents and transcripts, and using substantive coding tools.
- Assists with law and motion practice, including assembling motion papers and exhibits, coordinating filings, and ensuring proper service.
- Performs and oversees cite checking and proofreading of briefs and other documents.
- Assists with trial preparation, including creating trial notebooks, organizing exhibits, coordinating witness schedules, maintaining trial calendars, and communicating with opposing counsel and courtroom staff.
- Assists with printing, scanning, organizing exhibit binders, and related tasks.
- Assists with other department activities as needed and performs additional duties as assigned.
Qualifications
Skills & Competencies
Established understanding of litigation laws as they relate to individuals, partnerships and corporations.Proficiency with rules for court document filings.Knowledge of a variety of legal documents (complaints, answers, rulings, judgments, affidavits, motions, subpoenas, dockets, etc.).Strong attention to detail, organizational skills, and time-management.Excellent interpersonal and communication skills; ability to collaborate in a team and work under pressure to meet deadlines.Manual dexterity to operate office equipment and lift files as needed; ability to bend or stand as necessary.Ability to work in a fast-paced environment and manage multiple priorities.Education & Prior Experience
Bachelor's degree or equivalent experience preferred.Minimum 10 years of experience as a legal assistant, in a business law practice with exposure to litigation.Technology
