Facilities & EHS Specialist - Shockwave Medical

The Facilities Specialist will oversee all activities for our office facilities located in New Brighton MN. This position will act as the office administrator and will also support the EH&S, Supply Chain, & Operations teams.
Essential Job Functions
- Oversee the planning and scheduling of routine, preventative maintenance, repair, and shutdown maintenance activities.
- Acts as the primary site security administrator.
- Administer access control badging system.
- Handle any safety issues or concerns in a timely manner.
- Coordinate and lead new hire and internal move activities, including office space management.
- Helps to ensure all building and maintenance policies, procedures, SOP's, codes, regulations, etc. are followed and enforced including safety systems and standards.
- Lead & support daily facilities maintenance and vendor oversight.
- Maintains appropriate logs and records for ISO 14001 compliance.
- Initiate, complete and close our facility work orders in CMMS.
- Assists the facilities management team by coordinating with vendors for special projects as needed / assigned and coordinates all operations initiatives (e.g. signage projects, special inspections, data collection).
- Maintain compliance documentation for ISO, OSHA, CDP. ESG etc., including records / logs of regulatory actions.
- Conduct regular inspections and audits of facilities to ensure compliance with safety regulations and standards.
- Support EHS initiatives such as waste management, hazardous material handling, and emergency response preparedness.
- Collaborate with cross-functional teams to identify and resolve EHS issues and concerns.
- Communicate regularly with management and employees to promote a culture of safety and wellness.
- Performs utility bill data entry and reporting.
- Maintains and organizes records of service manuals, plans, as-builts, etc.
- Onboards new vendors as needed.
- Work with property managers to handle routine property management requests.
- Assist with budgetary requests, analysis and reporting.
- Assists management and staff with purchasing as necessary.
- Helps support facility specific cost savings targets to contribute to achieving savings.
- Support internal moves.
- Provides facility specific assistance with all building services including janitorial, food service, coffee services, parking, vending, badging, conference rooms, cubes as well as interior and exterior furnishings, fixtures and equipment.
- Maintain office supply inventory.
- Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
- Ensures appropriate follow up with internal customers.
- Seeks to continuously improve processes, systems and overall internal customer satisfaction.
- Provides information to vendors, and service providers as required to ensure excellent coordination / execution of work within the facility environment with minimal disruption.
- Ensure accuracy and timely updates to all database files (contacts, contracts, vendors, landlords, emergency files, etc.)
Requirements
At least 3 years work experience in Facilities / EH&SDemonstrated experience with facilities management operationsKnowledge of local, state, and federal safety and environmental regulations and compliance requirementsExperience conducting risk assessments and safety audits.Familiarity with office equipment & security systems.Strong knowledge of Excel, Outlook, Word & PowerPointAbility to work in a fast-paced environment while managing multiple priorities.Operate as a team and / or independently while demonstrating flexibility to changing requirements.There may be continuous sitting for prolonged periods (more than 2 consecutive hours in an 8-hour day).An internal pre-identified candidate for consideration has been identified. Additional Information
The anticipated base pay for this position is $75,650-$102,350 annually.The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation's performance over a calendar / performance year.
