Front Office Manager – Dermatology Practice
Location : Greenwood, IN
Schedule : Full-time, Monday–Friday
Reports to : Practice Administrator
About the Role
We’re seeking an experienced and motivated Front Office Manager to lead our front desk and call center teams in providing exceptional patient service and efficient daily operations across our dermatology offices. This role is key to ensuring a smooth, welcoming, and professional experience for every patient—from their first phone call to checkout.
What You’ll Do
- Lead & Supervise : Oversee front office and call center staff across all locations, fostering a supportive and accountable team environment.
- Patient Experience : Ensure front desk and call center teams provide outstanding customer service, efficient scheduling, and accurate patient intake.
- Operational Oversight : Maintain organized, well-equipped, and compliant front office operations; oversee check-in / out, scheduling, scanning, and referral coordination.
- Training & Development : Hire, train, and evaluate front office and call center staff, ensuring continued growth in communication, professionalism, and service quality.
- Collaboration : Work closely with clinical managers and the practice administrator to streamline patient flow and resolve operational challenges.
- Performance Monitoring : Track call center metrics (call volumes, wait times, abandoned calls, etc.) and front desk efficiency to identify areas for improvement.
- Policy & Compliance : Ensure adherence to HIPAA and office policies, updating procedures as needed.
- Problem Solving : Handle escalated patient concerns with empathy and professionalism, maintaining a positive representation of the practice.
What We’re Looking For
3+ years of supervisory or management experience in a medical office or healthcare setting (dermatology experience preferred).Strong leadership, communication, and conflict-resolution skills.Excellent organization and multitasking abilities.Working knowledge of insurance verification, co-pays, and patient billing processes.Proficiency in electronic health records (EHR) systems and scheduling software.Why Join Us
