The Loan Administrator provides comprehensive operational and administrative support for loans within Apple Bank’s Commercial Banking portfolio, including Commercial Mortgage (CMD) and Commercial & Industrial (C&I) loans. Key responsibilities involve overseeing loan funding and closing with an emphasis on timely execution and maintaining high data integrity, as well as managing credit documentation. This role collaborates closely with fellow Loan Administrators, Account Managers / Officers, Underwriters / Portfolio Managers, Loan Closing Officers, Loan Servicers, and various internal departments (such as Legal, Finance & Accounting, Risk Management, and Internal Audit) to effectively address all loan administration matters. Additionally, the position requires communication with agent banks and borrowers as necessary.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Oversee and execute loan administration activities for new fundings, closings, advances, modifications, and renewals.
- Use pipeline meetings and reports to prepare for loan closings and fundings, ensuring internal approvals are obtained at each loan stage from origination through disbursement.
- Conduct thorough reviews of internal memoranda and loan documentation prior to funding, including verification of credit approvals and loan covenants, confirmation of terms, allocations, rate structures, fees, and special instructions.
- Address client requests for loan fundings and advances; initiate and process transactions across systems (McCracken, Power Lender, IBS), secure necessary approvals, and request fundings with accuracy and punctuality.
- Complete closing documentation and requisite forms, collaborating closely with Loan Servicing and Loan Closing Officers to ensure timely completion.
- Coordinate all funding and closing processes with Account Officers, Underwriters / Portfolio Managers, Loan Closing Officers, Loan Servicing staff, agent banks, borrowers, and additional stakeholders.
- Verify that each funding and closing is accomplished accurately and expediently, addressing any issues promptly.
- Track the receipt of pre-closing and post-closing documents in the system, maintain up-to-date checklists, and eliminate overdue items.
- Request, prepare, and manage legal documentation, obtain required signatures, maintain electronic files, create physical folders, and forward packages to the Bank’s storage facility as appropriate.
- Monitor the group email inbox for borrowing requests and notifications received from agent banks and clients, appropriately classifying them for team action.
- Manage account maintenance tasks including data entry, report generation and review, form preparation, transaction logging, and balance calculation.
- Collect and deliver requested information to Internal Audit, Risk Management, Compliance, regulatory authorities, and other relevant parties.
- Enter borrower identification details (KYC) into loan management database and carry out instructions provided by the Anti-Financial Crime Department.
- Perform additional responsibilities as assigned.
SKILLS, EDUCATION, & EXPERIENCE
An associate’s degree is required, bachelor’s degree preferred.7 + (VP level), 6 + (AVP level), 5 + (AT level) years of experience in loan administration within a bank or financial institution.Experience in commercial mortgage / real estate and commercial & industrial sectors is a plusDemonstrated proficiency with the Microsoft Office suite (Word, Excel, PowerPoint).Previous experience utilizing loan processing platforms such as McCracken, Power Lender, IBS, etc.Proven ability to resolve practical problems and manage diverse variables in situations where standardization is limited.Capable of interpreting written, oral, diagrammatic, or scheduled instructions.Able to work both independently and efficiently while effectively prioritizing assignments and significant issues.Possesses strong interpersonal and communication skills, both verbal and written.Excellent attention to detail.Collaborative approach and commitment to teamwork are essential.Visa sponsorship not available.
