Accounts Payable Specialist
We are seeking an Accounts Payable Specialist to manage multiple locations alongside other AP Specialists and the AP Manager. This role involves manually managing the AP inbox daily, processing bills accurately, and ensuring proper general ledger coding of invoices. The position requires establishing a good working relationship with both employees and vendors.
Responsibilities
- Manage multiple locations with other AP Specialists and AP Manager.
- Manually manage AP inbox daily, ensuring bills are entered into Chase360.
- Respond to internal and external emails efficiently.
- Reconcile vendor AR aging to our vendor payable balance.
- Review new and updated vendor documentation for the AP Manager.
- Organize emails into the correct folders and follow up as needed.
- Process bills accurately and ensure proper backup is attached.
- Ensure correct general ledger coding of invoices.
- Perform account maintenance, recording entries, and reconciling books of accounts.
- Verify vendor accounts, pay vendors, and resolve invoice or payment discrepancies.
- Ensure check requests and employee expense reports are properly documented.
- Download all online invoices promptly to prevent late payments.
- File paperwork correctly, whether in a filing system or electronically.
- Assist with W9's and 1099s to ensure proper tax reporting.
- Stay informed of regulatory requirements and best accounting practices.
- Assist in special projects as needed.
- Work overtime as required.
Qualifications :
3+ years of accounts payable experience.Ability to process 350+ invoices weeklyExperience with manual invoice entryExperience with mid-large ERP softwareProficient Excel - pivot tables and VLOOKUPs, preferredStrong communication both written and verbalPay and Benefits
The pay range for this position is $24.04 - $30.00 / hr.

This is a fully onsite position in Newport Beach, CA.
