Executive Assistant – Finance & Construction Project Support

We are seeking an experienced Executive Assistant with a strong finance and accounting background to support our leadership team on-site. This role requires a detail-oriented professional who can manage executive administrative tasks while also providing hands-on support with construction project financials, job costing, and budget management . The ideal candidate is highly organized, financially savvy, and able to bridge the gap between project management and accounting functions.

Key Responsibilities

• Provide executive-level administrative support, including scheduling, correspondence, and document management.
• Take ownership of financial tracking and reporting for construction projects, including job cost accounting, forecasting, and variance analysis.
• Process, review, and reconcile invoices, payments, and contracts , ensuring accuracy and timeliness.
• Prepare monthly, quarterly, and ad hoc financial reports and project dashboards for leadership review.
• Support construction project management through budget monitoring, change order documentation, and financial oversight.
• Coordinate with vendors, contractors, architects, and clients to ensure financial and contractual requirements are met.
• Assist in compliance, permitting, and financial documentation required for audits and reporting.
• Maintain highly organized digital and physical files for both financial and project records.
• Anticipate executive needs and provide proactive, solutions-oriented support.
