Request For Proposal (RFP) Specialist
The Request For Proposal (RFP) Specialist will support the company's efforts in responding to customer Request For Proposals (RFP) for the Northeast Region. They will draft, review, and execute RFP responses submitted by prospective clients. Further, they will act as a project manager for RFPs, and other communication deliverables that support MMA sales activities. Their responsibilities include following our best practices for completing RFP responses, maintaining, and updating our database of response content, and promoting continual improvement of RFPs to help retain current clients and drive new business revenue.

A day in the life.
The RFP Specialist will report to the Director of Marketing. This job is in-person 3 days a week in either our Boston, MA, Worcester, MA, or Saddle Brook, NJ offices and 2 days remote.
Drive Revenue Growth
- Working closely with our producers and sales leaders to help identify client / prospect business-drivers, and create the optimal proposal communication strategy, suite of materials, corresponding messaging, and graphic approach
- Adhere to the proposal development process including developing work plans / schedules; reviewing requests for proposals (RFPs) for complete understanding of proposal submission requirements; facilitating proposal planning calls, determining preliminary assignments and communicating final assignments; determining research needs, delegating or performing as appropriate; monitoring team progress; organizing peer review; formatting for final submission
- Adhere to established brand, style, and visual identity guidelines to ensure consistency across all deliverables
- Take full ownership of assigned projects and drive them from concept through completion
- Demonstrate strong attention to detail, ensuring accuracy, quality, and alignment with standards
- Work independently with minimal oversight while maintaining accountability for deadlines and results
- Work effectively with internal subject matter experts to develop consistent compelling responses to satisfy proposal requirements
- Collaborate with other proposal teams across MMA regions on identifying new content, strategy, or formatting opportunities as appropriate
- Write and edit proposal / presentation content that clearly and persuasively describes service features and benefits, and is geared toward readers' needs and level of knowledge
- Review drafts from team contributors for clarity, conciseness, logic, flow, tone, completeness, accuracy, consistency, and credibility; eliminate jargon, blend differences in writing styles for continuity; correct grammar, punctuation, spelling, format inconsistencies
- Collaborate with graphic design to create layout style, template and graphics optimized for ease of reading
Support Proposal Database
Utilizing Loopio to ensure continual updates to refine company content in collaboration with in-house experts.Generate proposal submissions using Loopio and its content. Dedicate time in between proposals to ensure that Loopio is updated with most recent responsesRespond to requests for customization to the database, and to reports generated from itResearch new presentation methods and platformsBecome a proficient user of the MyMMA Analytics tools so that you have the most up to date data to include in Proposals.Our Future Colleague
