Administrative Assistant, Educational Opportunity Center
Provides administrative support to the Educational Opportunity Center Project Director, assists coordinators, tutors, and the EOC Advisory Council members. Performs all office management functions to support the overall operation of the project in compliance with Federal Government Regulations and those of the College. This position is funded through August, 31 2026
Essential Functions :
- Organizes and maintains project database, generates reports on participant educational status, operating files, participant records, and other aspects of the effective office management.
- Schedules meeting accommodations; attends project meetings; takes meeting minutes.
- Assists in the development and annual update of the project procedure manual.
- Creates and distributes the project newsletter and other project correspondence.
- Generates reports, correspondence, requisitions, memorandums, and other forms associated with the Project.
- Reviews and processes EOC applications before selection. Creates participant files and includes eligibility documentation.
- Collects information relative to participants' success (including college placement test scores, transcripts, post-secondary enrollment, GED / HS / HiSet completion, etc.).
- Supports Educational Coordinators and Project Director with internal file reviews for required documentation and services.
- Reviews participant files and develops quantitative reports to be reviewed at staff meetings for progress, improvements, and corrective action.
- Performs general / routine office functions including but not limited to : inventories, supply orders, travel arrangements, budgetary duties as needed, and maintenance of attendance, travel, expense records. Assists in making participant travel arrangements for tours, and / or other travel as needed or requested. Maintains equipment, computer software, hardware, and other inventory on a monthly and / or yearly basis.
- Meets and greets the public and acts as receptionist. Provides information and general guidance about the project, resources, community partners, and services; answers complaints and general inquiries; refers participants to the appropriate departments and staff. Handles incoming calls and emails, responds to and / or routes to the appropriate personnel. Schedules appointments for Project Director, coordinators, and tutoring staff as needed.
- Provides support to the Project Director and staff; assists participants, and project partners as needed.
Other Duties :
Provides functional supervision of work-study staff.Assists in the preparation of annual performance report.Performs other duties as assigned.Accountabilities : Job Specifications :
High school diploma required with a minimum of three years of successful experience in an office position; knowledge of MS software applications, word processing, desktop publishing, budgets and spreadsheet, data entry; record-keeping and organizational skills required. Ability to work independently and as part of a team; demonstrates good judgment. Experience working in an educational setting preferred. Knowledge of FERPA / confidentiality standards required.
