As we enter our next phase of growth, we're looking for an exceptional Executive Assistant to support our CEO and help orchestrate company operations.
The Opportunity
The Executive Assistant is a trusted partner to the CEO—balancing high-level administrative support with hands-on coordination across HR, legal / trademarks, certifications, office / facilities, and company events. You'll run complex calendars and travel, prepare materials and briefings, track follow-ups and deadlines, and serve as a communications hub. This is a fast-paced, on-site role with visibility across the organization and the chance to shape how we work as we scale — ideal for someone with a blend of executive support and HR operations experience.
Key Responsibilities
- Provide executive support to the CEO : manage calendar, travel, agendas, minutes, and follow-ups; prepare presentations and reports.
- Draft and polish executive communications; coordinate internal announcements and external correspondence.
- Support CEO-led foundation activities and manage annual updates for certifications (e.g., Woman-Owned Business).
- Maintain personnel files; coordinate new-hire onboarding schedules; support benefits / 401(k) communications (administrative coordination only); assist with HR documentation, compliance tracking, and employee engagement initiatives as needed.
- Track legal invoices, and budgets; coordinate with outside counsel; maintain trademark / IP portfolio and filings.
- Oversee office / facilities vendors (janitorial, maintenance, security); ensure a polished, guest-ready environment.
- Plan and coordinate company events, team gatherings, offsites, and basic vendor logistics.
- Build light project / OKR trackers; surface risks and deadlines; ensure owners and next steps are clear.
- Uphold confidentiality, version control, and organized executive records.

What We're Looking For
Bachelor's degree required (Business, Communications, or related field). MBA, preferred.5+ years of executive assistant or senior administrative experience supporting C-level leaders; experience in HR coordination or people operations strongly preferred.Demonstrated mastery of complex calendaring, domestic / international travel, and meeting orchestration.Excellent written communication and document formatting (slides, briefs, agendas); strong judgment and discretion.Proficiency with Google Workspace or Microsoft 365; familiarity with Zoom / Teams and expense / travel tools.Highly organized, proactive, and service-oriented; able to anticipate needs and manage shifting priorities.Comfortable onsite in Los Gatos with occasional after-hours support for critical meetings / events.Benefits :
