job_description.job_card.job_descriptionAt least 5 years of experience as a legal secretary in law firm environment. Minimum of 2 years providing direct support to a billing attorney. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Typing speed of 60+ wpm with strong accuracy. Draft, edit, and format legal correspondence, memoranda, and other documents from handwritten notes or transcription software. Prepare new matter reports, conduct conflict checks, open case files, and handle check requests. Manage state and federal court filings, including proficiency with e-filing systems. Compile tables of contents and authorities. Assemble government forms or closing binders, depending on attorney practice needs. Enter attorney time on a daily basis as directed. Assist with client billing : review and edit proformas, prepare cover letters, and coordinate distribution of final invoices to clients and Accounting. Maintain and organize both electronic and paper files; handle scanning, copying, faxing, and filing of documents. Coordinate depositions, hearings, meetings, and related logistics, including scheduling court reporters, booking conference rooms, arranging catering, and confirming calendars. Track important deadlines by maintaining multiple calendars and sending reminders as needed. Answer incoming calls, take accurate messages, and route calls appropriately. Arrange attorney travel, prepare expense reimbursements, and process vendor invoices. Maintain up-to-date client lists, contacts, and other databases.
Consilio is currently seeking two Legal Secretaries for our law firm client in San Francisco. This is a permanent, full-time, benefited position. The legal secretaries will report to the Administrative Office Manager. The role offers a salary range of $73K–$110K (based on experience) plus paid overtime, and the opportunity to provide high-level support to attorneys in a collaborative environment.
Work Environment : hybrid - 3 days onsite and 2 days remote
Education
- Degree highly preferred but High school diploma with equivalent work experience will be considered.
