POSITION : Playhouse Events Coordinator (Part-time)
DEPARTMENT : Playhouse
REPORTS TO : Playhouse Events Manager
PRIMARY FUNCTION : This position is responsible for working across departments to support the generation, coordination and implementation of Pittsburgh Playhouse special events focusing on festivals, internal events and community engagement.
QUALIFICATIONS :
- 1 to 3 years of experience working in customer service and live production coordination.
- Strong written and oral organizational skills along with interpersonal and intrapersonal abilities.
- Ability to follow directives and work independently as well as in a team
- Ability to work well in a fast-paced environment under deadline pressure
- Willingness and ability to work irregular hours including some evenings, weekends and holidays.
- Assist in the enforcement of established policies and procedures for the scheduling of conferences and events
- Establish and maintain a cooperative working relationships with coworkers, vendors, municipal offices, service contractors and the public.
- Demonstrate excellent customer service relations.
- AV / IT experience a plus.
- Supervisory experience preferred.
DUTIES / RESPONSIBILITIES :
Build, foster and maintain client relationships (30%)
Manage all rental and related guest communications and contracts related to internal and external eventsWork with Executive Producer and Playhouse team to create positive experiences for the clientsDevelop a trusting and communicative relationship with potential and current clientsWork with a positive approach in collaboration with the Playhouse production team to ensure one cohesive and collaborative effort from inception to deliveryEvent Planning and Implementation (70%)
Daily monitoring of rental in-box and timely responses to inquiries.Facilitate event needs in conjunction with the event manager for internal and external clients.Work in collaboration with university conferences and events servicesSchedule and lead facility toursAssist in the scheduling of all internal and external events in collaboration with all university departments including Playhouse and CES.Train Overhires including students in individual events as needed.Growth Goals and Expectations (30%)
Collaborate with Playhouse and University administration to develop opportunities for rentals.Assist in the expansion of Playhouse opportunities to increase revenue goals including but not limited to conferences, speaker series, festivals, and one night only featuresSupport Playhouse growth goal initiatives as needed.Working Environment : Occasional exposure to objectionable conditions or variations such as those found in variable weather conditions or light industrial settings.
Physical Demands : Job requires repetitively lifting light weight objects where frequent bending or stooping alternates with lighter activities; Mobility within the office. Ability to walk, sit, stand and climb stairs. Ability to use hands and fingers, to handle office equipment, records and files. Occasionally required to reach with arms and hands, and to stoop, kneel or crouch. Vision abilities required by this job include the ability to read and discern written errors on paper and electronic documents. Ability to talk and hear. Ability to lift up to 15 pounds.
