Job Overview :
The part-time Lifestyle and Website Coordinator is a hybrid position that provides support to management and the Board of Directors in the operations of Community Association business. This role carries responsibility for enhancing the quality of life for residents in an active adult (ages 55+) homeowners association by developing, coordinating, and implementing a diverse range of social, recreational, educational, and wellness programs and activities, utilizing the Association’s website, software, online tools and spreadsheets. This role is pivotal in fostering a vibrant and engaging community atmosphere where residents feel connected, active, and fulfilled. In addition, responsibilities will include maintaining the community’s website resident database, as well as fully utilizing website tools and capabilities for effective, efficient delivery of the community’s social programs.
Hours : Roughly 25 per week
M-F, 9 : 00a-2 : 00p, some evening and weekend events
Your Responsibilities :
Plan, coordinate and implement programs, classes and special community-wide events.
Research and propose new program ideas to keep the offerings fresh and engaging.
Arrange for guest speakers, instructors, and entertainers to provide enriching experiences.
Coordinate all aspects of event planning, including scheduling, logistics, promotion, and budgeting utilizing Association’s website, online tools and spreadsheets.
Foster resident participation and create a welcoming environment at all events
Facilitate committee meetings to develop ideas for social activities and events.
Enlist committee members and manage their participation in lifestyle programs.
Produce and distribute promotional flyers highlighting upcoming events
Maintain open lines of communication with residents, soliciting feedback and suggestions.
Build relationships with community partners and vendors to expand program offerings
Maintain accurate records of program participation and event attendance
Manage the Association’s Recreation Fund financial records and reports
Prepare reports for the HOA Board on program effectiveness and budget adherence
Stay informed about industry trends and best practices in senior living programming by participating in focus groups, seminars, & conferences.
Work with the resident committees to review room usage to mainstream and maximize program space availability
Implement new Association programs as required to meet approved budget goals.
Establish and maintain relationships with community businesses to create exclusive discounts / privileges of particular interest to residents
Introduce new residents to the community website and its role in the delivery of the lifestyle program and events
Provide new residents information and assistance with website registration
Ensure resident information in the community’s web site is accurate and up to date.
Serve as the initial point of contact when residents have a question or issue regarding the website’s support of the lifestyle program.
Support and maintain Association website in connection with planning, organizing and implementing community social events, to include but not limited to : Community Flyers, Community News, Clubhouse Calendar, Events Calendar, Event Announcements, Social Committee news and information, Online Payments, Social Event Workbooks
Support Social Committee needs in the use of website tools to include : uploading documentation to the website for social committee access, archive documentation upon expiration of active events, maintain event creation & support procedures
Assist with preparation of Newsletter publications and the community website, if applicable
Follow all policies and procedures of the Company
Such other duties and responsibilities as may reasonably be directed and required
Provide exceptional customer service to clients and vendors at all times
Respond to inquiries and provide resolution to questions or concerns in timely fashion
Maintain all records in Connect including work orders, resident information, Association documents, community information.
Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices
Attend Board meetings, when necessary
Fulfill all company Connect compliance expectations throughout the year.
Regular attendance and punctuality are essential functions for the role
Skills and Qualifications :
Minimum of 2 years’ experience in a customer service role; experience coordinating activities and events a plus
Excellent customer service, interpersonal and organization skills.
Ability to multi-task, work in a fast-paced environment and manage multiple projects simultaneously..
Excellent organizational skills and project management
Enthusiasm and Passion : a genuine passion for working with older adults and creating a positive community environment is essential.
Superior Customer Service skills : ability to interact with diverse individuals and groups and facilitate conflict resolution when needed.
Exceptional communication and interpersonal skills
Advanced written communication skills.
Advanced Microsoft Office skills.
Knowledge of basic accounting / budgeting procedures.

Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner

Adaptability in working with Google spreadsheets
Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
Skill in developing and maintaining good working relationships.

Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs or more following appropriate safety procedures. This movement can occur throughout the day.
Must be able to climb several flights of stairs if necessary.
Must be able to drive - Some local travel by personal vehicle is required
Must be able to sit and stand for extended periods of time.
Must be able to communicate both on the phone and in person with our clients in order to resolve issues and manage the business.
Must have finger dexterity for typing / using a keyboard.
Must be mobile enough to move around both the office in order to make copies, send mail and faxes and to walk around the property. This could include lengthy walks on uneven areas.
Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other associates.
Capable of working extended hours, to include evenings, weekends and holidays as necessary.
This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.
Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties

Compensation :
$29.00-$31.00 per hour
