Job Overview : We are seeking a highly organized and detail-oriented Accounts Payable / Accounts Receivable Clerk to support our growing network of independent charter schools.
The ideal candidate will have a strong background in accounts payable and receivable, assisting in month-end reconciliation and file management.
This role will report directly to the School Finance Manager. We are a small organization that is growing quickly, and we want to find the right person to grow with us.
Responsibilities : Accounts Payable (AP) and Accounts Receivable (AR) Processing : Daily entry and monitoring of Accounts Receivable and Accounts Payable transactions for our charter schools.
Processes Purchase Orders as necessary. Ensure accuracy and timeliness in processing invoices, payments, and collections.
Receipts and Invoices Management : Collection, verification, and organization of receipts and invoices from vendors and schools.
Maintain meticulous records and ensure all documentation is complete and accurate. Vendor and W-9 Management : Maintain and update vendor files, including W-9 forms and vendor contracts.
Ensure compliance with IRS regulations and organizational policies regarding vendor documentation. Financial Recordkeeping and Reconciliation : Assist in month-end reconciliation of accounts and preparation of financial reports.
Monitor accounts to ensure payments are up to date and discrepancies are resolved promptly. Communication and Collaboration : Liaise with school administrators and vendors to resolve billing issues and discrepancies.
Collaborate with the School Finance Manager and other team members to streamline processes and improve efficiency. Compliance and Policy Adherence : Adhere to organizational policies and procedures related to financial transactions and data management.
Assist in audits and compliance reviews as needed. Support and Training : Provide support and training to school staff on financial procedures and best practices.
Assist in the implementation of new financial systems or processes as directed. Preferred Qualifications : Proven experience in accounts payable / receivable or related financial roles.
Strong organizational skills with high attention to detail. Proficiency in Quickbooks Online, Microsoft Office Suite (especially Excel) and Google Suite.
Experience working with multiple clients or accounting divisions. Excellent communication and interpersonal skills. Ability to work independently and as part of a team in a fast-paced environment.
