Summary :
With minimum supervision responsible for administrativeduties of broad scope and complexity requiring independent judgmentand familiarity with applicable procedures.
Effective interpersonalverbal and written skills; versatile to interface at all levels ofthe organization.
Responsibilities
Following established procedures perform a variety ofadministrative responsibilities.
May berequired to perform some or all of the following :
Strong working knowledge and proficiency with MS Officesuite publishing applications as well as creating documentscontaining financial or statistical data or scientific technical orlegal terminology.
Administers customeraccounts by reviewing service and / or spare product requirements toexisting terms and conditions of purchase orders or maintenanceagreements.
Establishes and maintains customerrelationships through courteous and efficient servicing of customerrequests. Maintains regular communication with assigned customeraccounts and responds to customer service issues.
Prepares and submits correspondence in response tocustomer requests. Maintains an appropriate level ofconfidentiality about customer and company matters.
Respond to requests for quotations promptly andcoordinate with price estimating. Reviews pricing forreasonableness submits quotations / proposals for customer review andhandles customer questions regarding the submittedquote / proposal.
Coordinates with variousfunctions of the company (e.g. quality shipping / receivingaccounting order entry planning and shop personnel) on customerissues.
Prioritizes requests and commits to reasonable productionand / or provisioning lead time.
Releases repairsto production when customer approval is received by submitting awork order to the scheduler and updating the sales order withdelivery date and repair costs.
Develop action plans to addresspastdue items. May have oversight of order entry activity andshipping for spares.
Enter and manipulate dataon spreadsheet database or file management programs and perform abroad range of typing projects with a high degree of accuracy andspeed.
Set priorities and procedures foraccomplishing work. May be required to delegate portions to othersor offer assistance and support to others.
Collect data conduct research and compile information using avariety of mathematical calculations for a broad range of reportsand projects.
Conduct inquiries into specificproblems such as delays to ensure objectives are beingmet.
Communicate potentially negativesituations to management in a constructive manner.
Read mail highlight action or important items and attachrelevant files or information before distributing. Respond toroutine correspondence or draft routine responses for review andsignature.
Interface effectively with teammembers functional departments and customers. Screen calls respondto routine questions and receive and / or escort visitors.
Performother related responsibilities.
Job Requirements :
Minimum of three years of increasing in complexity ofadministrative duties related to office experience or Demonstratedability to perform described responsibilities
Bachelors degree required.
Working knowledge ofRCard.
Client knowledge is preferred.
Thorough knowledge of office equipment administrativeprocedures and / or terminology in functional areas.
Ability to accurately record meeting proceedings whereapplicable.
Proficient with Microsoft Suitesoftware. Intermediate to advanced skills in Excel. Mustdemonstrate effective verbal written and interpersonalcommunication skills.
Ability to workeffectively with others and be a participative teamplayer.
