JOBDESCRIPTION :
Will be required tobe onsite 5 days a week onsite
With minimumsupervision responsible for administrative duties of broad scopeand complexity requiring
independentjudgement and familiarity with applicable procedures.
Effective interpersonal verbal and written skills;versatile to interface at all levels of theorganization.
RESPONSIBILITIES :
Following established proceduresperform a variety of administrative responsibilities.
May be required to perform someor all of the following :
Strong working knowledge and proficient with MS Officesuite publishing applications as well as creating documentscontaining financial or statistical data or scientific technical orlegal terminology.
Administers customer accounts by reviewing serviceand / or spare product requirements to existing terms and conditionsof purchase orders or maintenance agreements.
Establishes and maintainscustomer relationships through courteous and efficient servicing ofcustomer requests.
Maintains regular communication with assigned customeraccounts and responds to customer service issues.
Prepares and submitscorrespondence in response to customer requests.
Maintains an appropriate level ofconfidentiality with regard to customer and companymatters.
Responds torequests for quotations in a timely manner and coordinates withprice estimating.
Reviews pricing for reasonableness submitsquotations / proposals for customer review and handles customerquestions regarding the submitted quote / proposal.
Coordinates with variousfunctions of the company (e.g. quality shipping / receivingaccounting order entry planning and shop personnel) on customerissues.
Prioritizesrequests and commits to reasonable production and / or provisioninglead time.
Releasesrepairs to production when customer approval is received bysubmitting work order to scheduler and updating sales order withdelivery date and repair costs.
Develops action plans to addresspast due items.
Mayhave oversight of order entry activity and shipping forspares.
Enter andmanipulate data on spreadsheet data base or file managementprograms and perform a broad range of typing projects with highdegree of accuracy and speed.
Set priorities and procedures for accomplishingwork.
May be requiredto delegate portions to others or offer assistance and support toothers.
Collect dataconduct research and compile information using a variety ofmathematical calculations for a broad range of reports andprojects.
Conductinquiries into specific problems such as delays to ensureobjectives are being met.
Communicate potentially negative situations tomanagement in a constructive manner.
Read mail highlight action or important itemsattach relevant files or information beforedistributing.
Respondto routine correspondence or draft routine responses for review andsignature.
Interfaceeffectively with team members functional departments and customers.Screen calls respond to routine questions and receive and / or escortvisitors.
Perform other related responsibilities.
Job Requirements :
Minimum of three years of increasing in complexity ofadministrative duties related office experience or demonstratedability to perform described responsibilities
Bachelors degree required.
Working knowledge of RCard.
Client knowledge is preferred.
Thorough knowledge of office equipment administrativeprocedures and / or terminology in functional area.
Ability to accurately record meeting proceedings whereapplicable.
Proficient with Microsoft Suitesoftware. Intermediate to advance skill in Excel.
Must demonstrate effective verbal written andinterpersonal communication skills.
Abilityto work effectively with others and be a participative teamplayer.
