This is an entry level position and will provide administrative, financial, and clerical support to the Office Manager with the day-to-day functions of the Front Office.

Candidates will be expected to perform a variety of tasks including but not limited to :

  • Assemble, review, and verify invoices and check requests
  • Answer incoming calls and transfer appropriately
  • Flag and clarify any unusual or questionable invoice items
  • Greet visitors and contact applicable staff
  • Collect mail and distribute as necessary
  • Scan invoices and file
  • Maintain company vehicle logs, service records, etc
  • Data Entry
  • Maintain vendor files
  • Correspond with vendors and respond to inquiries
  • Produce weekly / monthly reports
  • Provide supporting documentation for audits
  • Maintain accurate historical records
  • Assist with month end closing
  • Prepare AIA documentation, lien waivers, back-up documentation for monthly billing.
  • Upload billing info into billing software.
  • Requests Certificates of insurance from all subcontractors.
  • Keep accurate records of subcontract billing, lien waivers, insurance & payments.
  • Maintain confidentiality of organizational information
  • Running errands as needed
  • Other duties as required or assigned

Physical Requirements :

Candidates should expect to spend approximately six hours per day sitting and working at a computer. The remaining time would be spent walking or standing.

Job Prerequisites :

Individual must have a high school education, be able to follow instructions well and work independently. Proficiency with Microsoft Office products is essential.

The ideal Candidate will be focused, detail oriented and willing to learn. Basic day-to-day functions require this individual to be able to maintain a professional level of discretion, integrity, ability, and sound judgment.
