Alabama State University, College of Education, Zelia Stephens Early Childhood Center, invites applications to fill the position of Administrative Secretary.
The successful candidate will help effectively complete the day-to-day operations of the early childhood center. This may include working with parents, teachers, and students.
Duties and Responsibilities :
- Provide confidential administrative support, perform or coordinate secretarial work for the Director of Zelia Stephen Early Childhood Center
- Submit requisitions, travel authorizations, add / update vendors information, travel reimbursements and assist with entering annual sick leave, and compensatory time for Bi-weekly and Monthly payrolls
- Manage and monitor the schedules of faculty and staff, and changes and withdrawals of students
- Organize and implement procedures for administrative operations of the center, such as parent orientation, center tours, student placement, internships, and field experience in collaboration with the center director
- Compile factual information form files records, publications and other sources, and tabulates this information in accordance with standardized report form
- Determines with pertinent materials from the files should be attached to certain documents with which the supervisor must deal
- Compose drafts of repots and letters for the supervisor's review, and transmits replies to routine correspondence on the supervisor's behalf
- Assist in arranging meeting of the unit's staff or faculty, and serve as recording secretary the such meetings; prepare finished correspondence, reports and materials
- Type minutes, correspondence and other documents relating to the operation of the unit, and proofreads these materials to ensure their accuracy
- Establish and maintain accurate and current files of letters, reports, records, and other documentary materials, and ensures that information in these files is kept confidential
- Answer the telephone, place calls make appointments and reservations, receives visitors, and function as an office receptionist
- Perform general office management duties and recommends methods for improving office procedures
- Facilitate center visits as needed
- Interpret and apply policies and procedures for routing incidents
- Assist food service staff with completing and submitting meal preparation paperwork
- Perform other duties as assigned
An Associate degree in Secretarial Science, Office Administration or other appropriate field with one year of administrative or secretarial experience or a certificate in Secretarial Science with 2 years of administrative or secretarial experience required.
