JOB SUMMARY :
The Program Assistant is responsible for the overall administration and maintenance of the Student Support Services office.
He / she is responsible for the management of student assistants and peer mentors / leaders, the facilitation of educational / social workshops / discussions, and the development and implementation of the program tutorial component.
In addition, he / she will assist with the preparation of reports for both the Division of Student Affairs and the Department of Education.
RESPONSIBILITIES :
- Develop, facilitate, and create outcomes assessments for educational, social, and cultural workshops / discussions, targeted to program participants.
- Manage student assistants and peer mentors / leaders including the development and maintenance of student employee budget and scheduling.
- Maintain the tutoring component of the program including the hiring and scheduling of tutors and the tracking of program participant’s academic progress.
- Type (word process) / develop correspondence that may include letters, requisitions, proposals, memorandums, reports, and various forms.
- Maintain all data entry records and project files according to proposed guidelines.
- Serve as the department receptionist; answer the telephone; respond to inquiries concerning the Student Support Services Project; arrange meetings, etc.
- Perform a variety of office duties such as using copying and fax equipment, ordering supplies, and making travel arrangements for the project staff.
- Perform bookkeeping duties and maintain budget information regarding invoices, payroll, etc.
- Maintain project and office activities calendar.
- Participate in staff development and in-service meetings.
- Produce camera-ready brochures, flyers, etc.
- Adhere to college policies.
- Report to the project director.
- Complete other duties as assigned.
EDUCATION : Bachelor’s degree from an accredited college. Note : Applicants who do not possess the required education may substitute experience on a year for year basis.
Note : Applicants who possess an Associate's degree may substitute two (2) years of position-related experience for the remaining tow (2) years of education.
EXPERIENCE :
- Have experience with the PeopleSoft Student Administration Module.
- Possess strong filing and computer skills and have knowledge of specific programs, i.e., MS Office Excel, Access, and Word.
- Know how to operate office machines and equipment.
- Have the ability to prepare and present clear, technically sound, accurate, and informative reports containing findings, conclusions, and recommendations.
- Possess minimal supervisory and general office management skills.
- Possess the ability to facilitate outcomes oriented educational, social, interpersonal workshops / discussions.
- Possess the ability to complete assigned duties in a timely manner, as well as to perform multiple tasks.
- Have the ability to deal with the public in a courteous, professional manner.
