The Position :

The Event Coordinator serves as a main point of contact for internal and external clients who are utilizing Ivy Tech - Central Indiana's event facilities.

They will guide clients through the event planning process with regard to Ivy Tech's capabilities and will coordinate with involved internal

departments and external vendors. This person will complete all necessary entries for reservations, space planning, set up and audio-visual needs for events.

MAJOR RESPONSIBILITIES :

  • Deliver guest-service excellence
  • Engage in behaviors that create an inclusive environment in which all people are valued and supported.
  • Schedule, coordinate, and assist with special events hosted by clients
  • Utilizing approved systems, complete the reservation, space planning, set up and audio-visual needs for all events.
  • Serve as the onsite point-of-contact during events
  • Administrative duties as assigned
  • Coordinate with internal departments to schedule event-related activities
  • Tour potential clients and detail facility capabilities
  • Keep event records
  • Assist with setup and teardown of events
  • Work with logistics and marketing teams to coordinate materials and equipment for events

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA).

REQUIRED EXPERIENCE AND SKILLS :

  • Must possess good customer service and organizational skills
  • Must possess good written and oral communication skills and be able to provide service over the phone, through email, Teams, or in person
  • Must be proficient with current hardware and software technology
  • Must be able to maintain professional relationships with peers and superiors
  • Ability to use discretion and confidentiality with access to sensitive data and local administrative access to all desktop equipment and data in the environment for the purpose of support
  • Must be dependable
  • Ability to stay calm in stressful situations
  • Ability to handle multiple competing priorities
  • Ability to create and maintain documentation
  • Must show initiative in all activities
  • Must be physically capable of climbing ladders and lifting up to 30 pounds repeatedly
  • Must be willing to work nights and weekends as needed
  • Must be willing to travel as necessary
  • Experience in a higher education environment is desirable

MINUMUM QUALIFICATIONS :

  • Related professional work experience in meeting and event planning, or related internship experience
  • Bachelor degree in English, Communications, Public Relations, Marketing, Liberal Arts, Event Management, Business Management, or a related field, preferred.

SALARY RANGE : $45,000 - $55,000 (based on experience)

CLASSIFICATION : E-1
