GENERAL SUMMARY / OVERVIEW STATEMENT :

The Brigham and Women’s Hospital Department of Medicine (DOM) is a Harvard Medical School (HMS)-affiliated academic department comprised of 22 divisions, >

1,400 faculty, >

500 residents and fellows, and $475 million in annual research expenditures. The DOM is the largest academic department at BWH and among the largest in the country.

The Project Coordinator works in the Division of Genetics and provides direct support to faculty members, including the interim Chief of the Division.

Tasks and projects will vary in length and time but will all need careful planning and coordination.

PRINCIPAL DUTIES AND RESPONSIBILITIES : Indicate key areas of responsibility, major job duties, special projects and key objectives for this position.

These items should be evaluated throughout the year and included in the written annual evaluation.

Division of Genetics (100%)

  • Supervise 1.0 FTE administrative assistant that will report to the Division of Genetics for various activities which include but are not limited to support of space management, ordering, and calendar management activities.
  • Standard project management job duties with assigned projects, including development and documentation of project plans, timelines, resource needs, and progress reports;

data collection, tracking, and analysis; dashboard creation and maintenance; staffing meetings and programs.

  • Produce and regularly distribute key data and strategies highlighting the progress of assigned project initiatives. This can include work surrounding grant support as well as space reporting for assigned Principal Investigators.
  • Directly support two divisional Principal Investigators which includes the interim Chief of the Division.
  • Weekly timekeeping management for division.
  • Work through projects from beginning to end as they come in from faculty, Administrative Director, and team.
  • In charge of space management and equipment for three large floors of research, faculty and administrative space.
  • Backup management of email distribution groups and shared computer drives to ensure appropriate access amongst Division staff.
  • Perform other duties as assigned and related to projects.

Qualifications

QUALIFICATIONS :

  • Bachelor’s Degree required. Concentration or experience in science and / or research preferred.
  • Project management experience in biomedical science settings preferred.
  • Experience with managing the administrative aspects of a research project.
  • Experience with MGB Healthcare Systems and NIH grants helpful.

SKILLS / ABILITIES / COMPETENCIES REQUIRED :

  • Computer literacy : MS Office Word, Excel
  • Careful attention to detail and organizational skills
  • Ability to prioritize among many tasks, to work quickly under pressure.
  • Excellent communication and interpersonal skills, collaborates well with others.
  • Ability to demonstrate high degree of professionalism and discretion
  • Ability to prioritize tasks and set deadlines
  • Knowledge of bookkeeping and accounting principles, practices and software.
  • Ability to take initiative and capable of multi-tasking
