Job Description
As an Administrative Assistant, in the Facilities Maintenance Department, you will provide essential support to ensure the efficient operation of the department.
Your responsibilities include managing schedules, organizing meetings, handling correspondence, and maintaining files. You will assist with various administrative tasks such as data entry, preparing reports, and coordinating office activities.
- Provides comprehensive support to managers and team members by handling a diverse range of organizational and communication tasks.
- Organize and schedule meetings and appointments.
- Maintain contact lists, submit and reconcile expense reports, and manage office supply orders.
- Prepare and track invoices.
- Knowledgeable in a wide range of concepts, practices, and procedures within the field.
- Exhibit strong communication skills via phone and email, ensuring all duties are completed accurately, with high quality, and in a timely manner.
- Produce and distribute correspondence memos, letters, faxes, and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Provide general support to visitors.
- Conducts research and develops presentations.
- Manage supplies inventory by monitoring stock levels, anticipating needs, placing and expediting orders, and verifying receipt of supplies.
- Organize travel arrangements for senior managers.
- Handle sensitive information in a confidential manner.
- Record accurate minutes during meetings.
- Perform additional duties as assigned by leadership.
Qualifications
- Previous experience in an administrative role.
- Excellent organizational abilities to manage multiple tasks, prioritize effectively, and meet deadlines.
- Ability to identify issues and develop effective solutions.
Requirements
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
- Strong written and verbal communications skills with the ability to interact with all levels of team members and guests in an attentive and service-oriented manner.
