Vox Medias Legal & Business Affairs team has an opening for a Legal Operations Associate to join our highly-motivated Legal Operations team.
We are seeking an individual who is detail-oriented, an excellent communicator, a quick learner, naturally curious, & innovative.
You will join a team whose mission is to partner within the Legal & Business Affairs team & across the organization to improve efficiency & productivity, optimize workflows, & proactively anticipate future needs.
The core functions of the Legal Operations team include knowledge & information sharing, building & maintaining systems, project management, data analytics, & managing legal team vendors.
This position reports directly to the Legal Operations Manager & will work alongside another legal operations professional.
This role is perfect for someone with an operations or administrative background who can manage cross-functional initiatives & is comfortable managing upwards.

WHAT YOULL DO
Systems Development & Maintenance
- Contract database management, including identifying & summarizing material terms & key dates of executed agreements, monitoring agreement expirations, & facilitating renewals.
- Maintain & evolve homegrown legal systems & processes to improve department efficiency.
- Manage the legal teams systems, including Airtable, Dropbox, DocuSign, & Zapier.
- Create & maintain automated workflows & processes.
Information Governance & Knowledge Management
- Update & maintain legal quick-reference & self-help resources, including contract templates, best practices guides, playbooks, wikis, & 101 documents.
- Manage the Legal & Business Affairs team intranet site & internal team hub.
- Proactively identify gaps in knowledge & write new articles for the intranet site.
Project Management
- Support and / or lead new projects for the Legal team.
- Assist with the development & execution of legal operations initiatives for the Legal team in collaboration with the Legal Operations Manager.
Paralegal Support
Assist with tracking & maintaining records related to litigation & other disputes.
WHO YOU ARE
- An operations or administrative professional OR someone curious about the legal operations field & willing to learn & develop their operational skills.
- Quick learner with strong analytical skills & impeccable attention to detail.
- Highly motivated & comfortable taking the initiative.
- Enjoys solving complex problems & embraces innovation & technology.
- Proven ability to independently identify areas of improvement & proactively escalate.
- Excellent communication & organizational skills, including clear & effective written & verbal communication.
- Proven ability to handle multiple projects & meet deadlines within a fast-paced environment.
- Ability to work effectively with individuals at all levels & across all areas of the organization & can effectively manage upwards.
- Creative, flexible, enthusiastic, innovative, & a can-do, no job is too small, team player attitude.
- Desired, but not necessary :
- Familiarity with low code automation tools such as Airtable or Zapier.
- PMP, Scrum, or other equivalent project management experience.
- 1+ years of experience at a law firm or in-house corporate legal team.

WHERE YOULL WORK
This job is based in either Washington, DC, or New York. While we currently do not require Legal & Business Affairs team members to work out of the office regularly, team members are expected to be available to come into the office from time to time for meetings with other team members or key stakeholders.
