The Opportunity ... :

The Facilities Coordinator will assist the Facilities Manager with daily administrative tasks and special projects as needed.

To be successful in this role, the incumbent must be well-organized and able to prioritize multiple issues.

Including but not limited to :

Ordering office supplies

Restock office, kitchen, restrooms, and general supplies as needed

Scanning documents for filing

Running select simple reports

Coordinating business lunches and dinners

Manage incoming and outgoing mail

Manage invoices (sends to AP)

Manage supplies in conference room

Manage phone lists

Data entry

Answering phones and directing calls

Conduct daily walkthroughs to ensure clean and organized office

Provide information and direction to vendors, facilities staff and other service providers as required to ensure excellent coordination and execution of work, with minimal disruption

Reception and guest support

Liaison between customers and appropriate in-house personnel to meet needs / requirements

Other general administrative duties as needed

Job Requirements and Qualifications

2 + years in related position required

High school diploma or equivalent is required

Excellent communication, organization, and problem-solving skills.

Ability to work independently with little supervision and effectively deal with stressful situations.

Strong organizational, planning, and interpersonal skills are required

Must be proficient in Word, Excel, Power Point, and Outlook.

Physical Demands :

This position requires constant physical activity to include, standing for extended periods of time, walking, reaching, bending, and grasping.

Work Environment :

Air-conditioned office and warehouse with concrete flooring. Working around machinery and forklifts. May need to work outside as needed, in various weather conditions.
