OUTCOMES
Financial information is processed and maintained in a way that complies with policy, procedure, and mandate. This will include that information is processed in a timely manner, required data is effectively input, appropriate documents are forwarded / executed, information is processed and maintained according to TSA standards and requests for information are efficiently processed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Financial information is processed in a timely and accurate manner, in accordance with the standards of the Regional Accounting System.
- Categorizing and depositing all donations & other cash receipts.
- Deposits made in a timely fashion.
- Receipts generated and mailed to donors in accordance with Tri-City Corps policies, in collaboration with the mail appeal company and DHQ.
- Deposit information scanned and sent to DHQ in a timely fashion.
- All accounts payable functions.
- Verification and authorization for payment of all invoices, expense vouchers and reimbursement requests.
- Scheduling invoices for payment while maintaining sufficient cash balances through cash receipt forecasting and reserve funding requests when necessary.
- Communication with vendors regarding any invoice discrepancies or questions.
- Write checks, forward to appropriate recipients.
- Responsible for maintaining gift card inventory.
- Responsible for detailed financial record keeping.
- Organize and file "hard copies" of monthly financial transactions, reports and source documents to substantiate all cash receipts and disbursements.
- Assist in preparing various financial reports and budget information for Corps Officers, federal and local government agencies, Advisory Board, Corps Council, United Way / Community Chest applications, grant applications and audits, as well as end of year contribution statements for church donors.
- Assist the Corps Officer in creating the yearly Corps budget and submit to divisional headquarters, as requested.
- Assist in monitoring statements for accuracy for Tri City funds kept elsewhere.
- Reserve accounts.
- Capital Trust accounts.
- Work in a cooperative manner with the other on-site directors of the program, with issues pertaining to the business administration.
- Maintain good customer service to the community; see that all customers, clients and members are given prompt and courteous service.
- Follow and ensure adherence to The Salvation Army Policies and Procedures.
- Assists with other duties as assigned and needed.
RELATIONSHIPS
Under general supervision of the Corps Officers with some freedom to plan, schedule and carry out responsibilities within established policies and guidelines.
This individual relates to, and interacts with, a wide range of contacts both within and outside the
Salvation Army and in these contacts, they act as a representative of the Army and its mission.
PERFORMANCE MEASURMENTS
This individual will be evaluated on how effectively the outcomes of this position are achieved, as well as the timeliness, accuracy and completeness of accomplishing assigned goals.
A 30, 60, and 90-day performance review will be conducted.
EDUCATION / EXPERIENCE
- Minimum of two years of college education or its equivalent, a BA or BS is preferred.
- 2 years' experience in a bookkeeping position.
- Experience with a computer-based work environment and an excellent working knowledge of Word.

POSITION LIMITATIONS
- This individual will only commit Army resources that have been allocated or approved.
- This individual will keep the Corps Officers informed on all critical issues relating to their area of responsibility.
- This individual will adhere to all policies and procedures in carrying out the responsibilities of this position.
PHYSICAL DEMANDS / WORK ENVIRONMENT
- This position is required to do light to moderate physical work and must be able to at times lift up to 40 pounds.
- In order to successfully perform the essential functions of this position the employee is regularly required to use standard office equipment and a PC.
- The work environment for this position is an office setting with a low noise level but includes a community center environment with a medium to high noise level.
- Maintain positive work atmosphere by behaving and communicating in a manner that fosters and maintains positive relationships with co-workers and supervisors.
- This would include but not be limited to such actions : resolution of conflicts in a positive manner; courteous treatment of staff, clients, and visitors;
respect of others' property and person, professional and appropriate communication to and about co-workers, supervisors, and subordinates.
