Job Title : Clinic Scheduler
Salary : $22+ per hour DOE
Location : Tustin

Position Purpose :
The Clinic Scheduler is responsible for coordinating patient appointments, managing the daily schedule for healthcare providers, and ensuring that patients receive timely and efficient care.
This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Core Duties and responsibilities, include but are not limited to :
Appointment Scheduling :
- Coordinate Provider monthly schedule
- Schedule, reschedule, and cancel patient appointments using the clinic's scheduling software.
- Coordinate appointments with multiple healthcare providers and departments as needed.
- Ensure appointments are scheduled according to provider availability, patient needs, and clinic policies.
- Confirm upcoming appointments with patients and remind them of any necessary preparations.
Patient Communication :
- Communicate appointment details, including date, time, and location, to patients via phone, email, or text.
- Provide information on clinic policies, such as cancellation and late arrival policies.
- Answer patient inquiries regarding appointment availability, wait times, and other scheduling-related issues.
- Assist with triaging patient calls and directing them to the appropriate department or provider.
Collaboration :
- Work closely with healthcare Chief Medical Officer, Regional Manager, providers, nurses, and administrative staff to manage the clinic's schedule efficiently.
- Coordinate with other departments and specialty services at FTOC
- Participate in daily or weekly scheduling meetings to discuss and resolve scheduling conflicts or issues.
Problem Solving :
- Identify and resolve scheduling conflicts, including double bookings, provider unavailability, and urgent patient needs.
- Handle cancellations and no-shows by rescheduling or adjusting the provider's schedule as needed.
- Escalate complex scheduling issues to the Clinic Manager or appropriate department for resolution.
Customer Service :
- Provide a high level of customer service to patients, addressing their needs and concerns with empathy and professionalism.
- Handle complaints related to scheduling and work to resolve them in a timely manner.
Education and Training :
- High School Diploma (college preferred).
- Medical Assistant or higher Certification from an accredited institution required. (Optional)
- Bilingual : Spanish (Required)
Qualifications, Skills, and Experience :
- Must have at least 3 years of experience in a FQHC clinic setting
- Must excel in multitasking within a high-paced environment.
- Strong computer skills, acute attention to detail, confident and professional communication.
- Responsiveness to the needs of both internal / external stakeholders in a professional and personable manner are expected.
- Knowledgeable in general EMR / EHR systems is preferred.
