Position : Accounting & Administrative Lead
About the Role :
Although Uptown has been in business since 1991, we are growing and need to formalize our finance and administrative processes.
We are looking for an individual with some solid accounting experience who is looking to grow their career. Through the rest of 2024, there will be training / handover to get comfortable with all responsibilities.
As of January 2025, the current part-time support will cease and you will be the main Accounting & Administrative Lead for the business.
As we grow, so does our complexity, and we need the right team member who is willing and interested to roll up their sleeves to work on various projects that improve our business alongside the President and General Manager.
Initial Responsibilities :
- Responsible for the company’s accounting functions
- Manages A / R Management, Process A / P
- Handles Bank Account Reconciliation
- Completes weekly payroll hourly and salaried pay
- Administers benefits packages and business insurance
- Supports Employee Ownership / Stock inquiries and updates employee handbook
- Communicates financial results effectively across the organization to support deep business and financial understanding for employee owners
- Maintains proper record keeping for the organization
- Works with General Manager to maintain proper inventory levels
Additional Responsibilities as of Jan 1, 2025 :
- Understanding and oversight of all corporate requirements and reporting processes
- Maintenance of monthly checklist / processes to ensure timely completion
- Monthly financial report transmittals through corporate reporting system, explaining variances
- Work with corporate GAAP Team for implementation of required accounting methods
- Work with President to formulate financial forecasts and budgets
- Establish and maintain appropriate internal controls environment
- Provide and update weekly a 13-week cash flow outlook
- Weekly corporate vital submission
- Key point of contact for corporate accounting, month-end close, and tax-related enquiries
- Work with Management in tracking KPIs
- Profit Margin, Cash Flow Analysis, AR, Sales by Category, Monthly P&L and Balance Sheet
Required Skills and Experience :
- Degree in Accounting or Finance
- 3-5 years of accounting and / or bookkeeping experience
- Experience in retail, particularly consignment or reselling, is preferred
- Knowledge of office administrator responsibilities, systems, and procedures
- Working knowledge of US GAAP, payroll
- Must be proficient with QuickBooks Online, Excel and Google Sheets
- Excellent communication and time management skills
- Ability to multi-task and prioritize work
- Critical thinker capable of initiating process improvements and problem-solving
- Team player we are a small and growing business, example : help could be needed from time to time with packing orders as we launch e-commerce
- A creative mindset with an ability to suggest improvements
Working Hours and Conditions :
- Hybrid : Work from home with expectation to come into store office(s) as needed (average 1-2 times per week) and check PO Box
- Store hours are open 7 days a week and open many holidays : Monday Saturday, 10am-6pm and Sunday 12-5pm
- Store locations : Hamden, Rocky Hill, Southington, South Windsor
