Responsibilities :
- Maintain front-facing relationships with customers, contractors, service providers, and vendors
- Streamline office systems including organizing filing systems, ordering office supplies, maintaining office equipment, scheduling team member meetings, and optimizing the organizational budget
- Facilitate office policies and procedures, ensuring they meet our organization’s standards
- Lead office management including day-to-day operations, directing administrative assistants, and other secretarial duties
- Perform additional human resources and office administration duties as needed
- Assist with implementing, enforcing, improving, and maintaining the Firm's personnel employment policies and providing feedback and assistance to the Firm’s support personnel
- Manage the billing and collections efforts for current clients
- Participate in evaluations of support personnel (intake, sales, law clerks, and paralegals) and make substantive recommendations to the Director of Operations regarding work assignments, promotions, discipline, terminations, etc.
- Perform liaison function between the Firm and the Landlord
- Purchase routine office supplies within the budgeted amount
- Oversee the Firm’s records retention and information storage retrieval
- Ensure the Firm’s activities are fully documented in writing
- Train staff in their respective duties using the Firm’s written policies and procedures
- Perform weekly billing for all matters and ensure clients pay current and outstanding bills
- Manage the Intake and Sales team
- Lead File Meetings with the attorneys, paralegals, and Director of Operations to ensure cases are moving along the case life cycle within the case-life time frame and ensure the financials are up-to-date with no outstanding balances
- Schedule and meet with clients to discuss financials and billing
Qualifications :
- Must possess exemplary problem-solving, communication, and time management skills
- High school graduate, G.E.D. recipient, or equivalent
- Familiarity with Microsoft Office or similar systems
- 2+ years of management experience strongly preferred
- Law firm professional service firm experience preferred
Compensation :
$50,000 - $65,000 yearly
