Job Summary :

As a Receptionist at Ultra Cryo & Recovery, you will be the first point of contact for clients, ensuring they receive a warm, professional, and welcoming experience.

You will manage daily front desk operations, handle client inquiries, schedule appointments, and support the team in delivering high-quality cryotherapy services.

This role requires excellent communication skills, attention to detail, and a passion for providing exceptional client service.

This role applies to all three of our Ultra Cryo & Recovery locations (Auburndale, Davenport, Lakeland), and candidates may select the location they are applying for during the application process.

This position will be part-time, paying up to $15.00 per hour and working 20-30 hours per week Monday - Saturday.

Responsibilities :

• Greet and welcome clients as they arrive at the office.
• Answer phone calls, respond to emails, and manage inquiries in a professional manner.
• Ensure a high level of client satisfaction by addressing questions and concerns promptly.
• Schedule and confirm client appointments using Thryv booking software.
• Manage rescheduling and cancellations in line with company policies.
• Maintain up-to-date client records and update their files with relevant information as needed.
• Manage the reception area, ensuring it is clean, organized, and presentable at all times.
• Process client payments, handle cash, and ensure transactions are accurately recorded.
• Assist in promoting Ultra Cryo services and upselling packages where appropriate.
• Assist the team with various administrative tasks, such as client file management, data entry, and reporting.
• Ensure accurate tracking of appointments, packages, and client preferences.
• Help with the coordination of special events, promotions, and VIP experiences.
• Other duties may be assigned.

Requirements

• High school diploma or equivalent required; an associate degree is a plus.
• Previous experience in a receptionist, customer service, or administrative role is preferred.
• Proficiency in scheduling and client management software ( Thryv experience is a plus).
• Strong organizational skills and the ability to multitask in a fast-paced environment.
• Excellent verbal and written communication skills.
• A positive, professional demeanor with a passion for customer service.
• Ability to work flexible hours, including weekends, to meet business needs.
