Summary : Provide effective coordination and general assistance for American College of Surgeons (ACS) Committee on Trauma (COT) activities within the administrative team.
- Deliver valued customer service to all COT constituents. Assist with general membership program support; effectively document and track membership, participation, and expense related information;
- and contribute to effective communication to internal and external parties. Participate in and support the administrative planning and coordination of COT-related meetings and exhibit participation, including travel tracking and arrangements;
- inventory management and preparation for exhibit materials; meeting communication through different tactics; customer support;
and general reporting. Additional responsibilities include general project and administrative support as needed for COT Programs, the Executive Committee programs, and to the Administrative and Medical Directors, in-house staff, and others.
This exempt position will report to the Manager, Administrative Operations, Trauma Programs in the Division of Research and Optimal Patient Care.
It is based in our Chicago office and is a hybrid role : 3 days per week in the office / 2 days per week remote.
Required Education and / or Experience :
- Bachelor’s degree from an accredited college or university required; training in project management a plus.
- 2-4 years’ experience in a professional office environment, including administrative support and customer service. Non-profit or association experience is a plus.
- Strong customer service experience is required.
- Strong working knowledge of Microsoft Office Products (Outlook, Word, Excel, and PowerPoint), along with professional email writing experience is required.
- Excellent communication skills (both verbal and written) required.
- Meeting logistics planning experience is preferred.
- Experience working with budgets and expense reports, as well as writing and maintaining written organizational processes and procedures is preferred.
- Strong attention to detail, record keeping, and organizational skills.
Physical / Work Environment : Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping.
Performs work in a normal office environment with long hours in front of the computer.
Other Necessary Requirements : Occasional evening or weekend duties may be required. Moderate travel (i.e., quarterly) for activities such as out of town meetings is required.
