Job Summary

The anticipated duration of this assignment is approximately 3 - 4 months; possibility of extension. This is a hybrid role;

3 days on site at Mission Bay campus; 2 days remote. Will include optional medical benefits, holiday pay and sick leave accrual. Career potential!

The Facilities Services Department (FS) is committed to creating an exceptional campus physical environment to support the research, teaching, health care and community service mission of the University.

FS employs over 465 professional staff / contractors and acts as steward for over $95 million in operating funds and $28 million in capital funds annually to achieve its goals in operating, maintaining, and renewing the UCSF campus environment consisting of 9 million GSF of research, clinical, administrative, and auxiliary services space.

Duties to include :

  • Manage the Associate Director's calendar, provide meeting coordination, archive and records management, prepare and compile agenda items and meeting materials, take minutes or notes and assure appropriate follow up on action items, goal tracking
  • Serves as the main point of contact and policy expert between unit staff and internal / external administrative departments.

Manages coordination between Custodial Services unit and internal service requests related to Human Resources, Facilities, Logistics, IT, Documents & Media, and other internal / external departments

Coordinates and participates in a variety of human resources activities including employment, training, classification, and ensuring the completion of forms and documents related to HR and Payroll for unit / department.

Gathers, analyzes, prepares and summarizes financial and HR reports

  • Supports unit by coordinating, candidate selecting, room reservations, and scheduling interviews while working closely with AVC Office regarding hiring needs
  • Responsible for keeping the inventory of goods, ordering, monitoring deliveries and receiving.
  • Event planning / coordination
  • Assist Training and Development coordinators

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations.

UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment.

Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications

  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Solid knowledge of common University-specific computer application programs. Demonstated experience with creating reports and ad hoc reports in Excel.
  • High degree of proficency in Microsoft (Outlook, Word, Excel, Access, and Powerpoint)
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Ability to work independently and work as part of a team.
  • Ability to successfully manage projects within scope, time, budget and quality
  • Strong computer skills : MS Office (Word, Excel, Power point, Outlook).
  • Ability to handle multiple projects simultaneously and perform work on schedule in a safe and timely manner.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use sound judgment in responding to issues and concerns.

Preferred Qualifications

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Experience with UCSF Systems; Bear Buy, MyExpense
