POSITION OVERVIEW
The Sinai Akiba Academy Operations Coordinator plays a vital role in supporting the daily operations of Sinai Akiba Academy’s programs and campus needs.
This exempt full-time role coordinates the operations of Sinai Akiba Academy and reports directly to the Director of Finance and Operations.
The Operations Coordinator is responsible for maintaining the database of facilities usage and scheduling, purchasing supplies and materials, vendor relations, event coordination as it pertains to operational and facility needs, and other operational needs of the school.
This position ensures that the school's facilities are clean, safe, and ready for the school’s daily activities and special events.
The Coordinator handles immediate operational needs and assists with event execution. This role is also responsible for establishing and overseeing a system to proactively maintain the campus, prevent deferred maintenance and avert operations disruptions in collaboration with the Director of Finance & Operations and Sinai Temple Facilities Director (as needed).
The ideal candidate will be organized, detail-oriented, reliable, and capable of understanding urgency and coordinating with various departments.
The position might require the availability of the Coordinator beyond the typical school hours.
ESSENTIAL RESPONSIBILITIES
Custodial Oversight :
- Coordinate and ensure daily cleaning tasks for the evening custodial team to maintain the cleanliness and sanitation of SAA classrooms, restrooms, common areas, and administrative offices.
- Work closely with the Sinai Temple Facilities Director to ensure that daily cleaning schedules at SAA are followed, and any operational needs or issues are promptly addressed.
- Oversee the restocking of cleaning supplies and report inventory needs to the Sinai Temple Facilities Director for timely replenishment.
Event Support :
- Work with the Maintenance Team to ensure the proper setup and breakdown of events and that all logistical requirements are met.
- Serve as the on-site contact for event organizers during the evening, addressing any last-minute requests or issues in coordination with the Maintenance Team.
- Ensure that all event spaces are properly cleaned and reset after events for the next day’s activities.
Collaboration and Coordination :
- Coordinate closely with the Sinai Temple Facilities Director to ensure smooth transitions between day and evening operations.
- Communicate in a timely manner with other school departments to confirm that facilities are prepared for events, activities, and programs.
- Coordinate custodial, maintenance and facility planning operations with the Sinai Temple Facilities Director to prioritize projects, resolve problems, and maintain / update maintenance and project database.
- Oversee proper waste disposal and storage organization following guidelines set by the Director of Finance & Operations.
- Monitor vendor performance, providing feedback and support as needed to ensure high standards of service.
- Communicate any performance or operational issues to the Director of Finance & Operations and Sinai Temple Facilities Director for further action or resolution.
- Partner with the cleaning vendor and Maintenance Team to adjust assignments as necessary to address any changes in timing or workload.
- Represent SAA operational interests at staff meetings.
Safety, Compliance, and Documentation :
- Ensure compliance with school health, safety, and sanitation protocols during operations, reporting any concerns or issues to the Director of Operations & Finance or the Sinai Temple Facilities Director (as appropriate).
- Conduct regular inspections of the SAA campus to identify and address any maintenance or safety needs.
- Maintain accurate and thorough documentation of safety inspections, supply inventory, campus maintenance and vendors to ensure compliance with school standards.
- Prepare Emergency Protocols and documentation and ensure proper recordkeeping emergency training as overseen by the Director of Finance & Operations.
- Schedule school’s annual drills.
- Utilize AssetCloud to manage fixed asset inventory.
Purchasing and Vendor Relations :
- Oversee purchasing, inventory, and receiving functions and the distribution of equipment, supplies and materials.
- Evaluate bid proposals and negotiate contracts within approved guidelines by Director of Finance & Operations.
- Establish vendor relationships and related purchasing guidelines and communicate and collaborate with Director of Finance & Operations and accounting team for invoice processing.
Other Operational Support :
- Coordinate all aspects of annual school photos.
- Coordinate and oversees all regular school construction and renovation projects.
- Manage field trip transportation, notifications, Trip Liability Release forms, and insurance verifications.
- Collaborate with HR Department on WVPP and IIPP.
- Respond to constituent inquiries regarding operations.
- Manage SAA Team Members’ facility and maintenance requests, emergency contact information, and constituent inquiries regarding operations.
- Manage all aspects of parent and staff parking, including parking assignments, stickers, and attendants and work in collaboration with the SAA Registrar and Receptionist to ensure effective distribution of parking information & stickers.
- Act as the primary point person for ensuring school facilities, maintenance and set-ups are ready for daily and after-school activities (including special events after regular school hours).

REQUIREMENTS AND QUALIFICATIONS
- Bachelor’s degree preferred
- 3+ years’ experience managing or coordinating building operations in the Los Angeles area
- Strong interpersonal and collaboration skills
- Outstanding verbal and written communication skills
- Excellent organizational and time management skills with the ability to prioritize and multitask
- Available to be physically present and sometimes during non-traditional work hours
- Able to follow oral and written instructions accurately
- Proficiency in Google suite and MS Office
- Ability and desire to work in a school environment with children
- Valid driver's license and ability to lift and carry materials such as boxes, chairs, and tables

- Annual Salary Range : $70,000 - $85,000

In the spirit of pay transparency we share the base annual salary range for this position : $70,000 - $85,000. Annual base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees).
Pay ranges at SAA are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at SAA, your final annual base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year.
In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer.
Please keep in mind that the range mentioned above is the full annual base salary range for the role. Hiring at the maximum of the range is not typical for SAA in order to allow for future and continued salary growth.
