Your Role

As the Procurement Admin for our world-class Procurement team at Gensler, you will be supporting a dynamic Procurement team that serves the Firm by sourcing and procuring goods and services in a timely manner, managing procurement processes and suppliers efficiently and effectively, also while maintaining the Firm’s fiscal health.

You will leverage your purchasing experience and business acumen to perform your responsibilities and contribute to the success of our Procurement Team.

This role requires excellent communication and collaboration skills, analytical thinking, responsiveness, accuracy, and teamwork.

What You Will Do

  • Assist with daily purchasing needs and requisitions (e.g. Purchase Orders, Amazon), ordering of supplies / materials from the Firm’s preferred suppliers;
  • Interface with finance software platform (Coupa) for supplier portal access and reconciliation of purchase card receipts, requisitions, and invoices;
  • Assist Procurement Asset Management teammate with daily IT software licensing requests (e.g. Miro and Adobe), as well as frequent database (SNOW) entry, reporting, and maintenance needs;

Assist with contract management needs such as researching potential vendors, monitoring upcoming renewals, cost savings initiatives and related reporting

Support the Procurement Team’s continual process documentation and improvements

  • Monitor Procurement Helpdesk and support Procurement Team in the timely response to requests;
  • Help to track orders and delivery dates and follow-up with suppliers or internal customers, as needed, to confirm or change orders;
  • Help to validate product coding for invoice processing;

Attend meetings with external Value Added Reseller partners as well as internal Procurement and Finance team meetings

Your Qualifications

Bachelor’s Degree in relevant area (business, finance, IT, logistics, supply chain) preferred

0-3 years of experience as procurement assistant or similar procurement role

General understanding of procurement processes and documentation (e.g. Purchase Orders, Invoices, RFPs, Contracts), IT / software purchasing, inventory management, supply chain, market research, and data entry

General understanding of Finance and IT operations as your role evolves

Knowledge of MS Excel and MS Outlook

Professional with a Customer Service attitude

Solid communication, organizational and interpersonal skills

Comfortable working within a fast-paced, team-oriented environment

Willingness to learn and interface with data-centric platforms (such as SNOW database, Coupa, PowerBi, or ServiceNow)
