Position Summary

Bay FC is seeking a highly organized and proactive Executive Assistant / Office Manager to support the organization. This dynamic role requires exceptional communication skills, a keen attention to detail, and a passion for soccer.

The ideal candidate will play a crucial role in ensuring the smooth operation of our front office while contributing to the organization's overall success.

Responsibilities

  • Provide administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as a point of contact between the executives and internal / external stakeholders, facilitating effective communication and follow-up on key initiatives.
  • Prepare agendas and distribute meeting notes for executive meetings. Ensure all necessary materials are available and organized.
  • Assist in the planning and execution of special projects and initiatives ensuring deadlines are met and objectives are achieved.
  • Support the organization and execution of internal team events and meetings with external stakeholders.
  • Able to work from our San Francisco office Monday-Thursday.
  • Helpful and curious about what it takes to make an office great.
  • Management of office supplies / snack ordering and catering.
  • Work with external vendors to ensure the office is clean and maintained.
  • Liaison to in-office visitors.
  • Occasional errands / delivery management.
  • Keep the office organized and orderly.
  • Handle sensitive information with discretion and maintain confidentiality.

Qualifications

  • Bachelor’s degree in business administration, sports management, or a related field preferred.
  • 3+ years of experience as an executive assistant, office manager, or in a similar administrative role, ideally within the sports or entertainment industry.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
  • Excellent written and verbal communication skills, with a strong attention to detail.
  • Ability to multitask, prioritize, and work effectively in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Passion for soccer and a commitment to promoting the sport.

Compensation

The anticipated salary range for this role is between $75,000-$85,000. Actual starting pay may vary based on a range of factors which can include experience, skills, and scope.

Bay FC is the first NWSL team in the Bay Area. Co-founded by four U.S. Women’s National Team legends Brandi Chastain, Aly Wagner, Danielle Slaton, and Leslie Osborne in partnership with global investment firm Sixth Street, Bay FC is changing the face of women’s soccer as we know it.
