Position : Jr. Project Coordinator
Location : Grand Rapids, MI (Hybrid - 1 day remote) Salary : $50,000 - $55,000
Position Summary of the Jr. Project Coordinator : In this role you will support the seamless execution of marketing projects by coordinating project workflows, managing data and reporting, and facilitating global content sharing to align with strategic objectives.
Essential Functions of the Jr. Project Coordinator :
- Manage project scheduling and capacity for the Marketing Project Management team, ensuring all projects are updated in the dashboard.
- Process and assign tasks from project intake forms, set up exploratory meetings, and gather relevant historical data.
- Organize project documentation by assigning ticket numbers and creating Google Drive folders for all working files.
- Develop and manage Marketing Plan Worksheets, process submissions, and create formal marketing documents for records.
- Oversee project closure, including collecting billable hours, generating reports for the finance team, and organizing feedback meetings.
- Coordinate the storage of final output files and manage global content sharing, collaborating with the Rights and Permissions Coordinator.
- Maintain and update the Google Drive File Transfer folder with print files and other resources.
- Collaborate with the digital team to ensure social media fields are correctly uploaded for global distribution.
- Assist in survey coordination and manage orders for envelopes, ancillary products, and event displays.
- Work with executives to assist with organizing banquets, celebrations, and open houses as needed.
- Experience with Google Drive File Transfer, Google Worksheets, Office 365 (Word, PowerPoint, Outlook, Excel, Teams).
Qualifications of the Jr. Project Coordinator :
- Bachelor's degree in marketing, communications, or project management (preferred, not required)
- 1+ years experience in project coordination, administrative assistance or operations.
- Proven ability to manage multiple projects, prioritize tasks, and solve problems effectively.
- Strong organizational and communication skills, with the ability to negotiate as needed.
- Capable of setting agendas, coordinating meetings, and maintaining project deadlines.
- Able to prioritize, organize, and problem solve to balance the workflow in the development, production, and distribution of products and resources.
