Job Summary
The Student Services Specialist Senior in Admissions, Records, and Registration is responsible for supporting students, staff, and faculty with a higher level of technically demanding duties related to Admissions, Records, and Registration.
Duties include but are not limited to graduation, transcript evaluation, athletic compliance, 3rd party enrollment, residency, special admissions, compliance, and quality assurance.
This position interacts with a diverse population of students, staff, faculty, administrators, and the public. This position requires a strong understanding of college, state, and federal rules and policies to solve complex enrollment issues, complaints, and troubleshooting of software and equipment utilized in the department.
Assist with enrollment-related projects, systems testing, and SIS training including processing of documents and coordination of office workflow.
Essential Functions
45% - Perform a higher level of technically complex functions related to admissions, records and registration. Lead functions related to graduation processing, athletic compliance, 3
party enrollment, transcript evaluation, special admissions, National Student Clearinghouse error resolution reports
25% - Monitor quality assurance to ensure accuracy of completed transactions, monitor phone, email and chat services. Coordinate and maintain admissions, records and registration, reports, spreadsheets, databases, documents and service account correspondence between students, faculty and staff
20% - Supports the Admissions and Records department by assisting with service to students, project deadlines and department goals.
Troubleshoots software, responds to issues and complaints. Responsible for updating enrollment records and correcting error reports using the Student Information System.
Process dynamic forms related to residency, domicile, special admissions and compassionate withdrawal
10% - Assist with the department workflow by assigning staff to alternative job functions (by reassigning priorities) according to the needs of the business.
Compiles and prepares data for supervisor, and other duties assigned by the Manager of Admissions and Records
Minimum Qualifications
Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and
coordination, student advisement, financial aid, or related student development programs.
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as
those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
A. Bachelor's degree from a regionally accredited institution
B. Two (2) or more years of experience working in an Admissions, Records and Registration office at a postsecondary educational institution
C. Two (2) years of experience assisting or coordinating the operations of a customer service area providing support in various modalities (i.
e. phones, chats, email, in-person)
D. Two (2) years of experience researching, interpreting and implementing federal, state and institutional rules, regulations, policies and procedures related to Admissions, Records and Registration
E. Two (2) years of experience using, creating, maintaining and editing Microsoft Excel Spreadsheets and / or Google Sheets and / or other student record databases, including but not limited to : PeopleSoft (SIS), ConexEd (Cranium Cafe).
F. Two (2) years of experience providing quality customer service to students, staff, faculty and community partners
G. Two (2) years of experience providing one on one and group training, including creating and delivering presentations and / or conducting college tours
