Job Overview :
The ideal candidate will be responsible for overseeing and processing the company's payroll operations, ensuring compliance with federal, state, and local regulations.
This role requires a highly organized and detail-oriented individual with a strong background in payroll administration, particularly in a manufacturing environment.
Key Responsibilities :
Payroll Processing : Oversee the accurate and timely processing of payroll for all US employees across multiple states, including hourly and salaried staff.
Oversee the coordination of payroll processing with 3rd party processor for all employees residing in Canada. Oversee coordinating with managers of contractors to ensure proper processing of payroll for all contractors.
- Reconciliation : Ensure all payroll is accurately uploaded to the ERP system through the journal entry process.
- Compliance : Ensure payroll processes comply with all federal, state, and local payroll regulations, including tax filings, garnishments, deductions, and benefits administration.
- Payroll System Management : Maintain and troubleshoot payroll systems (such as ADP, Paychex, or similar software), ensuring data integrity, system upgrades, and process improvements.
- Auditing and Reporting : Conduct regular audits of payroll, benefits, and taxes to ensure accuracy. Prepare and submit payroll reports, including earnings, taxes, deductions, and benefits to management.
- Timekeeping Oversight : Manage timekeeping systems, ensuring accurate tracking of employee hours, overtime, and leave balances.
Collaborate with department managers to resolve discrepancies.
- Employee Inquiries : Act as the main point of contact for payroll-related inquiries, addressing and resolving employee concerns about wages, deductions, or other payroll matters.
- Collaboration with HR and Finance : Work closely with the Human Resources and Finance departments to coordinate payroll-related activities such as annual salary reviews, benefit deductions, bonuses, and employee status changes.
- Continuous Improvement : Identify opportunities to improve payroll processes and enhance efficiency within the department.
- Compliance Audits : Assist with internal and external payroll audits, ensuring all records are properly maintained and comply with audit standards.
Qualifications :
- Education : Bachelor’s degree in Accounting, Finance, or related field is preferred. Equivalent experience will be considered.
- Experience : 5+ years of experience in payroll administration, with at least 3 years in a senior or supervisory capacity within a manufacturing environment.
- Technical Skills : Proficiency in payroll software (e.g., ADP, Paychex, etc.), Microsoft Office Suite (especially Excel), and familiarity with ERP systems.
- Knowledge : In-depth knowledge of payroll procedures, tax laws, and regulations (FLSA, wage and hour laws, etc.). Experience with multi-state payroll processing is a plus.
- Skills : Excellent organizational, analytical, and communication skills. Strong attention to detail and ability to handle confidential information with discretion.
- Certifications : Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.

- May require overtime during peak payroll periods or fiscal year-end reporting.
