  • Additionally, the position may work remotely from any of the following countries outside of the US : Bangladesh, Bolivia, Democratic Republic of the Congo, Cote d’Ivoire, Ethiopia, Indonesia, Kenya / Alliance locations, Malawi, Mexico, Mozambique, Nepal, Nigeria, Pakistan, South Africa, and Zambia.
  • Compensation for this position will be determined on the prevailing market rate for similar positions in the employee's location, and the applicable statutory laws in addition to Ipas's own pay philosophy and other factors, such as the employee's experience level and expertise.

The Contracts and Grants Support Advisor leads strategic initiatives to ensure compliance with contractual and grant terms governing incoming funds and with Ipas policies and procedures.

Responsibilities include contract review and precise entry and maintenance of award data in Ipas's award library and ERP (Enterprise Resource Planning) system, Workday.

This role requires a seasoned professional with specialized expertise in contracts and grants management, a dedication to innovation, and a proven ability to drive efficiency improvements.

As a crucial member of the contracts, grants, and procurement team, the Contracts and Grants Support Advisor will significantly contribute to fostering collaboration between the Contracts, Grants, and Procurement department and other nodes and teams.

Salary Band is P2; US range $67,500 - $112,500

Primary Responsibilities

  • Review incoming and outgoing legal instruments and modifications (including award agreements, subaward agreements, pre-teaming agreements, teaming agreements, sub-contracts, etc), and conduct regulatory research.
  • Oversee the setup, maintenance, modifications, and closeout of awards and projects in Ipas’s Enterprise Resource Planning system (Workday).
  • Develop training resources and materials and deliver training sessions to enhance the capacity of the team and relevant stakeholders across the network in contracts, grants, and related compliance matters
  • Facilitate and coordinate handoff meetings to share relevant award information with implementing teams.
  • Collaborate with program and procurement teams in negotiating contracts and subawards terms and conditions to ensure compliance and mitigate risks by providing advice on language and approach.
  • Develop and implement strategies to address potential challenges and issues during the life cycle of contracts and grants.
  • Explore opportunities for innovation in contracts and grants management processes, leveraging technology and best practices to enhance efficiency and effectiveness.
  • Identify and implement process improvements to streamline workflows and balance risk with Ipas’s shared leadership and network philosophies.
  • Ensure that the award review process is carried out in accordance with established processes and procedures and contact consultants when expert advice is required.
  • Serve as focal point for providing support to other nodes during audits and due diligence processes with respect to donor awards.
  • Assist program managers and other stakeholders with contract, Workday, and Award Library-related questions.
  • Maintain Ipas’s Award Library and internal award trackers.
  • Other duties as assigned.

Requirements

Minimum

  • Bachelor’s degree in business administration, finance, or a related field.
  • Minimum of 5 years of senior-level experience in contracts and grant management within the nonprofit sector.
  • In-depth knowledge of donor requirements and industry best practices related to contract and grant management.
  • Direct management of sub-awards and / or international development project management experience.
  • Strong negotiation, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proven ability to work collaboratively in a team-oriented environment.
  • Proficient in Microsoft Office Suite.
  • Experience using Workday or similar management / ERP systems.
  • Professional experience outside of the United States, preferably in Africa, Asia, or Latin America.
  • Demonstrated expertise in designing and conducting training and other capacity-building initiatives.
  • Experience drafting organizational policies and procedures.
  • English language fluency

Preferred Skills

  • Experience using Workday for award setup.
  • Master's degree is a plus, especially masters-level studies in legal, regulatory, and compliance fields.
  • Experience with accounting / financial management principles.
  • International development experience
  • Ability to work in Spanish, French, or Portuguese.
