Rutgers, The State University of New Jersey is seeking a Program Associate I for the Institute for Health, Health Care Policy and Aging Research.
Under the direction of Center leadership, the Program Associate I will support Center investigators’ mixed-methods and interdisciplinary research portfolios that examine health services, systems, and policies affecting vulnerable populations, including those with substance use disorders, opioid use disorder, mental / behavioral health conditions, and disability across the lifespan.
Works both independently and with Center leadership, faculty, research staff, and research partners in support of office and research administration.
The incumbent will support multiple federally and other non-profit funded, collaborative projects with a broad range of research partners.
The incumbent will also be responsible for maintaining the calendar and other scheduling needs as required for the Center director and faculty.
Among the key duties of the position are the following :
- Performs routine and semi-routine professional work that requires general knowledge of office administration, with a key focus on university policies and procedures under general supervision.
- Management of general Center inquiries including scheduling requests for the Center director and faculty, serving as liaison within and outside the Center.
- Maintenance of Center director’s calendar and other scheduling needs with an understanding of priorities and overall Center needs.
- Assists with the logistical management of funded research, organizing internal Center and study-specific meetings.
- Assists with research and identification of guest speakers and coordination of logistics for events and meetings in support of Center programming.
- Coordinates travel arrangements for Center director and prepares business expense reimbursements for faculty and staff in accordance with university policies.
- Assists senior Center administrators in research administration activities across the grant cycle, including editing of faculty biosketches;
- sourcing and editing administrative sections of federal and foundation grant applications; drafting and editing letters of support (incoming and outgoing);
assisting with development and maintenance of subawards; monitoring pre and post award deadlines; citation management; IRB submission management and tracking.
- Creates and maintains documents and reports of general and research administrative functions and processes in support of Center operations.
- Develops and maintains records to track Center operations and timelines, such as grant-funded publications, Center media engagements, and research project timelines.
- Coordinates website updates, ensuring an up-to-date digital footprint for the Center and Center director.

- Requires a bachelor’s degree in a related field or an equivalent combination of education and / or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion / outreach.
- Also requires a minimum of two years relevant experience in a program coordination or administrative function, good communication skills, and computer literacy.

Preferred Qualifications
- A Master’s degree in a relevant social science (Public Health, Social Work, Health Administration, or similar) or business degree (MBA).
- A firm understanding of Rutgers policies and procedures.
- Working knowledge of Rutgers systems including PeopleSoft, Procurement, Travel / Expense reimbursement, and eIRB.
- Previous experience in a relevant social science such as Public Health, Social Work, Sociology, Psychology, or related sciences.
- Experience working in a research university.
- Proficiency in complex scheduling management.

- Zotero or similar citation management software.
