Job Duties :
Preparing reports and handling information requests.
Performing clerical functions, including preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Acting as the immediate supervisor's representative when interacting with the public and other State executives.
Screening incoming correspondence, referring to appropriate staff, and ensuring timely responses.
Formatting documents in Microsoft Word and Excel.
Receiving and processing mail, as well as faxing, scanning / photocopying, emailing, and uploading documents.
Scheduling meetings and managing daily schedules for team members.
Supporting an internal Personnel Database in Access while maintaining strict confidentiality.
Troubleshooting staff issues, including IT-related matters.
Candidates must be dependable, detail-oriented, and highly motivated, with the ability to work in a fast-paced, high-volume office environment.
The successful candidate should be adaptable to changing deadlines and priorities and possess excellent organizational and communication skills, including proper grammar, punctuation, and business communication.
Minimum Qualifications :
High school diploma (or equivalent).
At least two (2) years of experience in a professional office setting.
Proficient in Microsoft Office, particularly Word and Excel.
Ability to enter and extract data from electronic databases.
Ability to work both independently and as part of a team with diverse personalities.
Strong organizational skills, with the ability to manage multiple shifting priorities and create organized reports.
Preferred Qualifications :
Certification in Microsoft Office products.
Experience with LATS and Access databases.
Familiarity with computer information systems and programming.
Experience with the New York State Department of Health recruitment process.
Misc. Information :
Monday to Friday; 9am - 5pm
