Located at Grandscape in The Colony, WorldSprings is an outdoor hot springs experience offering a variety of mineral pools & spas from around the world that promote health and wellness.

Position Overview :

We are looking for a TWO, full-time, dedicated and enthusiastic Guest Services Coordinators to join our team. The ideal candidates will be responsible for ensuring that all guests have a memorable and enjoyable experience from the moment they make contact and arrive until they depart.

This role requires excellent communication skills, a keen eye for detail, and the ability to handle multiple tasks simultaneously.

As a Guest Services Coordinator, you will be the first point of contact for our guests, including online, virtual, via telephone and written correspondence, addressing their needs and resolving any issues that may arise.

You will work closely with other departments to ensure that all guest requests are met promptly and efficiently. Your primary goal will be to create a welcoming and hospitable environment that exceeds guest expectations including offering ways to enhance the Guest's visit with additional products and services.

Responsibilities

  • Receive, respond and execute on all written incoming communication.
  • Greet and welcome guests upon arrival.
  • Assist with check-in and check-out procedures.
  • Handle guest inquiries and complaints in a professional manner.
  • Coordinate with housekeeping and maintenance to ensure rooms are ready for guests.
  • Provide information about local attractions and services.
  • Manage reservations and room assignments.
  • Ensure guest satisfaction by addressing their needs promptly.
  • Maintain accurate records of guest interactions and transactions.
  • Assist with event planning and coordination.
  • Monitor and respond to guest reviews and feedback.
  • Coordinate transportation and other guest services as needed.
  • Ensure compliance with all hotel policies and procedures.
  • Assist with billing and payment processing.
  • Provide concierge services to enhance guest experiences.
  • Train and mentor new staff members.
  • Maintain a clean and organized front desk area.
  • Assist with marketing and promotional activities.
  • Handle special requests and VIP guests with care.
  • Ensure safety and security of guests and their belongings.
  • Participate in team meetings and training sessions.

Requirements

  • High school diploma or equivalent; college degree preferred.
  • Previous experience in a customer service or hospitality role
  • Excellent communication (verbal and written) and interpersonal skills.
  • Strong problem-solving abilities.
  • Ability to multitask and work under pressure.
  • Proficiency in Microsoft Office and guest management software.
  • Fluent in English; additional languages are a plus.
  • Strong organizational skills and attention to detail.
  • Ability to work flexible hours, including weekends and holidays.
  • Professional appearance and demeanor.
  • Knowledge of local attractions and services.
  • Ability to handle cash and process payments accurately.
  • Strong team player with a positive attitude.
  • Ability to stand for long periods of time.
  • Customer-focused with a commitment to providing exceptional service.
  • Ability to handle confidential information with discretion.
  • Strong time management skills.
