JOB SUMMARY : The Study Coordinator assures that new projects are promptly scheduled, and that schedules for existing studies are promptly remapped according to communicated changes in timing and scope of work.
ESSENTIAL DUTIES & RESPONSIBILITIES (Not an Exhaustive List). Employees must be able to perform the essential functions of the job with or without reasonable accommodation.
- Ensure that all internally conveyed committed projects are populated into the company scheduling tool, to contain all required and relevant information and tasks
- Establish internal tasks for each project to reflect all quoted, approved and protocol-driven services
- Establish appropriate chronology of tasks
- Ensure that all relevant departmental tasks for each project are considered and included
- Ensure that work on open projects is scheduled to progress in line with contractual client expectations
- Obtain project documentation from clients as needed to enable study initiation and scheduling of internal tasks; store and / or disseminate documentation as per internal processes and StageBio SOPs
- Maintain continuous attention to client needs and expectations related to scheduling of projects and deliverables
- Escalate scheduling conflicts as needed
- Initiate internal communication with department managers as needed during project schedule generation, related to development of task and study timelines
- Communicate with clients as needed
- Determine appropriate Pathologist(s), Contributing Scientist(s) and other assigned roles for each project as applicable, and assign these resources in applicable systems using company-established tools and criteria
- Schedule work associated with project change orders as needed; generate tasks representing finalization and / or materials disposition plans as needed
- Promptly maintain tasks in company scheduling tool
- Other duties as assigned

REQUIRED EXPERIENCE / EDUCATION :
Bachelor’s degree in life sciences or related discipline is preferred.
At least three years of related experience may be considered in lieu of educational requirement
REQUIRED SKILLS & ABILITIES :
Demonstrated administrative ability, including knowledge of and experience with planning, scheduling, reporting, managing inventory, corresponding, and answering inquiries in a professional office setting
- Excellent customer service skills including demonstrated ability to maintain positive, professional rapport with clients, employees, and vendors
- Excellent verbal and written communication skills
- Ability to establish and maintain trusted professional working relationships both internally and externally
- Strong analytical and problem-solving skills and a high-level of resourcefulness including persistence and diligence in finding solutions and resolving issues
- Ability to function well in a fast-paced environment
- Proficient with Microsoft Office Suite, company scheduling tool, and other related software.
WORKING CONDITIONS / PHYSICAL REQUIREMENTS :
Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 5 lbs. at a time
- Days and hours of work are generally Monday through Friday, 8 : 00 a.m. to 5 : 00 p.m. with some evenings and weekends as needed
