Astrolab is seeking an Office Coordinator to provide support to our growing team in Hawthorne, CA. The successful candidate will be self-motivated, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with a strong emphasis on organization, inclusive culture building, and attention to detail.
What You'll Do :
- Welcome and assist visitors, ensuring a professional and friendly first impression
- Maintain the cleanliness and organization of reception and kitchen areas, including managing office snacks and beverages
- Schedule and coordinate meetings, interviews, and conference room bookings
- Arrange domestic and international travel for employees and candidates
- Handle administrative tasks such as preparing reports, scanning documents, and receiving deliveries
- Build and maintain strong relationships with clients, staff, vendors, and office guests
- Organize and manage onsite and offsite activities, events, and meetings
- Coordinate and support community engagement, marketing, and recruiting events
- Oversee special projects and assist with office operations as needed
- Manage vendor relationships and coordinate facility maintenance tasks
What’s Prepared You :
- Bachelor’s degree and 2+ years of professional experience in an office or customer service setting OR 4+ years of experience in an office environment
- Friendly, professional, and approachable demeanor
- Highly organized and detail-oriented
- Proven ability to multi-task and thrive in a fast-paced start-up environment
- Resourceful and proactive, always seeking innovative solutions to challenges
- Strong verbal, written, and presentation skills
- Proficient in Microsoft applications (Teams, SharePoint, OneDrive, etc.)
- Familiar with accounting software such as Bill.com or Xero
- Capable of handling and safeguarding confidential information with discretion
