Executive Assistant to the President

SUMMARY

CCAD is seeking an experienced professional to join the college's leadership team. Reporting directly to the president, the Executive Assistant to the President provides high-level support to the president while also serving as the liaison between the president and internal / external stakeholders.

This role requires exceptional organizational skills, attention to detail, strong communication skills, and the ability to manage multiple priorities effectively.

The executive assistant plays a crucial role in managing the CCAD Board of Trustees and ensuring the smooth functioning of the president's office.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following :

President's Office Management :

  • Ensures that the President's Office and Executive Suite operate efficiently and professionally with the appropriate resources, and that the overall demeanor is welcoming and accessible.
  • Develops and manages the President's Office budget.
  • Maintains President's Offices records.
  • Oversees institutional memberships and president's professional memberships.

Board of Trustees :

  • Serves as primary manager and liaison for CCAD Board of Trustees.
  • Manages the Board portal.
  • Develops Board calendar, schedules all Board meetings and events, and communicates with trustees about college matters.
  • Coordinates Board and Board committee meetings, including drafting agenda, compiling meeting book, and overseeing meeting logistics.
  • Records minutes for Board and Board committee meetings.
  • Maintains Board records and archive.

Calendar & Scheduling :

  • Maintains the president's calendar and schedules meetings and events.
  • Coordinates logistics for meetings and events hosted by the president.
  • Arranges the president's travel, as needed.

Communications :

  • Serves as intermediary for president by managing correspondence, inquiries, and visitors.
  • Composes internal and external correspondence on behalf of the president, as requested.

Events :

  • Orchestrates special events for the President's Office, often in concert with Institutional Engagement.
  • Oversees college community events and gatherings that are hosted by the president.
  • Participates in Commencement planning, serving as coordinator of ceremony dignitaries and speakers.

Special Projects :

  • In concert with Gallery Director, maintains CCAD Art Collection catalog and oversees president's purchasing of new works.
  • Manages additional special projects as requested by the president.

Other :

  • Occasionally may represent the President in meetings with college constituents and at external events.
  • Advises the President about matters that require his or her attention.
  • Participates in networks of executive assistants in the community to keep abreast of best practices.
  • Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

QUALIFICATIONS

Education and Experience :

  • Bachelor's degree and five plus years related experience, preferably in higher education or the arts; or equivalent combination of education and experience.
  • Proficient in standard computer applications. CCAD primarily uses Google and Adobe Suites.
  • Experience with Board portal and CRM software is desired. CCAD uses OnBoard board management portal and Raiser's Edge CRM.
  • Track record of meeting deadlines in a fast-paced environment.
  • Previous experience maintaining confidentiality.
  • Experience with public communications and / or social media management is an asset.

PHYSICAL DEMANDS

  • The employee is regularly required to sit, use hands, talk, and hear.
  • The employee is occasionally required to stand, walk, reach, and stoop.
  • The employee must occasionally lift and / or move up to 10 pounds.
  • Specific vision abilities required by this job include close vision.

WORK ENVIRONMENT

  • The employee may have the ability for a hybrid schedule, however, the primary location for work is on the CCAD campus.
  • The noise level in the work environment is usually moderate.

COMPENSATION

This position is full-time, exempt. Compensation is commensurate with experience and qualifications. CCAD offers a benefits package including : vacation time, additional paid time off while the college is closed during winter break, sick time accrual, health and dental insurance, life and disability insurance, 403B retirement contribution, tuition remission, free campus parking, and free membership at the Columbus Museum of Art.
