ADMINISTRATIVE ASSISTANT - 40 HOURS FULL TIME, NO WEEKENDS
The Administrative Assistant will report to the Chief Nursing officer providing clerical assistance as needed.
- Position Function : Provides administrative and managerial assistance to the Chief Nursing Officer
- Job Relationships : Reports to the Chief Nursing Officer.
- Must be able to collaborate and effectively communicate with : President Senior Leadership Team Operations and Frontline Leadership Teams Executive Assistant to the President Administrative Assistants of Senior Leadership Team Managers and Employees of SEMC
- Authority : The Chief Nursing Officer shall delegate authority to the Administrative Assistant to screen calls and direct requests to the appropriate individuals.
- A. Responsibilities / Essential Functions :
Provides superior customer service to internal and external clients, customers,
- and patients as referenced in the Service Excellence Standards."
- Provides administrative support to Chief Nursing Officer
- Serves as backup to the Executive Assistant for the President.
- Functions as receptionist for visitors and staff, maintaining orderly, neat office environment.
- Answers and screens incoming telephone calls of the Vice President Business Development and Vice President Operations.
- Coordinates calendar and daily schedule for Vice President Business Development and Vice President Operations. Schedules meetings and makes necessary arrangements including room bookings, food service, materials distribution, notification, confirmation, etc.
- Opens and prioritizes daily mail
- Drafts routine correspondence and memos.
- Transcribes or types correspondence, memos, and reports as assigned by Chief Nursing Officer
- In the absence of the Chief Nursing Officer, responds to voice mails, E-mails and, when appropriate, correspondence.
- Completes requisitions, purchase orders and invoices and processes according to SEMC standards.
- Coordinates logistics for outside conferences and seminars. Processes payment.
- Ensures that confidentiality of all material generated to and Chief Nursing Officer is maintained
Qualifications :
Minimum Education : Associates or Bachelors preferred or equivalent experience
†††††††Minimum 5 years of executive level administrative experience within a health care environment.
