D&E Department

The Development & Engineering (D&E) team drives the technology, innovation and new development of data center infrastructure across Vantage’s companywide portfolio.

D&E evaluate new sites, drives cost and schedule in line with corporate goals and serve as subject matter experts across the entire project lifecycle from concept through commissioning.

The team collaborates with Sales, Operations and management along the way. D&E also work hand in hand with the Construction team to come up with a vertically integrated design and ensures new and existing standards and designs are executed effectively.

Position Overview :

We are seeking a diligent and organized Document Control Specialist to join our Design team. The Document Control Specialist will play a crucial role in managing and organizing Design documents and records to ensure compliance with regulatory requirements and project specifications.

The ideal candidate will have experience in document control within the Design industry and possess strong communication skills!

Responsibilities :

Establish and maintain document control procedures and processes for construction projects, ensuring compliance with industry standards and project requirements.

Lead the creation, review, revision, and approval of construction & Design documents, including, but not limited to drawings, specifications, contracts, submittals, RFIs, and change orders.

Maintain an organized system for document storage, retrieval, and distribution, applying document management software or other appropriate tools.

Coordinate with project teams, subcontractors, and vendors to facilitate the document control process, including document tracking, transmittals, and document turnover.

Conduct regular audits of Design documents to verify accuracy, completeness, and compliance with project specifications and contractual obligations.

Assist project managers and engineers in resolving document-related issues and discrepancies, providing support and guidance as needed.

Ensure timely and efficient distribution of Design documents to relevant partners, both internally and externally.

Provide training and support to project team members on document control procedures, software applications, and standard processes.

Monitor changes in project requirements, regulations, and industry standards related to document control and implement necessary updates.

Generate reports and metrics to track document control activities, identify trends, and improve processes as needed.

Qualifications :

Confirmed experience in document control within the construction or Design industry, preferably in commercial or civil construction projects.

Strong understanding of construction document management principles, practices, and standards.

Proficiency in document management software such as Procore, Autodesk BIM 360, or similar platforms.

Excellent communication skills, with the ability to interact effectively with project teams, subcontractors, and clients.

Highly organized with strong attention to detail and accuracy.

Ability to work independently and collaboratively in a fast-paced construction environment.

Familiarity with construction or design contract documents, drawings, specifications, and industry terminology.

Certification in document control or construction management is a plus.
