Montecito Bank & Trust is seeking a full-time Operations Support Specialist to join the Bank Operations Department. The Operations Support Specialist will be deliver a World Class Experience by being responsible for completing various risk-based operational duties for departments and branches.

Actively completes various account maintenance requests submitted by branch associates and other internal departments. Assists branch associates with general account and customer inquiries in accordance with the department Service Level Agreement.

Must have understanding of all bank consumer and business products including Cash Management services and the ability to assist and troubleshoot for associates and customer.

Minimum Requirements, Activities & Responsibilities

Education and Experience :

  • High school degree or equivalent required
  • Minimum of one year up to three years of similar or related experience

Essential Functions :

  • Process all assigned operational tasks in a quick, accurate and efficient manner.
  • Provide operational support to all internal and external customers.
  • Identify areas of needed process improvement and offer potential solutions.
  • Work collaboratively with our business partners within the Bank.
  • Communicate openly with peers, supervisors and managers.
  • Assist branch associates with routine inquiries including the review of new account business and trust documentation; work directly with legal and other pertinent departments to provide answers and guidance to branch associate questions as they arise.
  • Perform account / customer maintenance requests submitted by branches and other departments, as well as maintenance at the project level as coordinated through various bank departments.
  • Work with IRA administration vendor in setups of newly opened IRAs, changes in documentation and beneficiaries, distribution requests and annual tax reporting.
  • Monitor branch overdraft reports and close accounts at 30 days, to include appropriate tickets passed and communications sent to customer and branch.
  • Assist with branch monthly, quarterly and annual certification process if requested.
  • Provide back up to Service Center as needed.
  • Obtain and retain product knowledge certifications.
  • Identify areas of needed process improvement and offer potential solutions.
  • Additional responsibilities as assigned, including assignment to special project teams.
  • Other duties as assigned.

Skills and Capabilities :

  • Must be flexible and willing to work in an interactive and dynamic team environment.
  • Strong critical thinking, decision-making, and customer service skills
  • Strong knowledge of standard computer applications including MS Word, Excel, and Outlook
  • Strong oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, speak clearly to customers and employees
  • Strong organizational, problem-solving, and time management skills
  • Ability to lead by example in a team setting and work independently while performing duties
  • Current drivers license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities
  • Must be able to perform this position safely, without endangering the health or safety to himself or herself or others
  • Must be capable of regular, reliable and timely attendance
  • Must be able to work effectively either independently or as part of a team
  • Must be able to effectively handle multiple, simultaneous, and changing priorities
  • Must be able to demonstrate highest levels of customer service and confidentiality with internal and external customers
