Job Summary

As the Office Administrator at Jefferson Capital, you will be the welcoming face and voice of our office, providing exceptional administrative support to our team and visitors.

In this role, you'll manage front desk responsibilities, assist the HR department with various administrative tasks, and help keep the office running smoothly.

Your organizational skills, friendly demeanor, and ability to multi-task will ensure a positive and productive workplace environment.

What does a typical day look like?

  • Greet visitors, clients, and guests with a warm welcome; direct or escort them to the appropriate person or location.
  • Answer, screen, and forward incoming calls, or take messages when needed.
  • Serve as a back-up for the Executive Assistant, helping with scheduling, travel arrangements, and other tasks.
  • Manage incoming and outgoing mail, courier deliveries, and distribute documents as necessary.
  • Maintain a well-organized front office area, ensuring supplies are stocked and ready for daily use.
  • Coordinate office events, team lunches, and assist with employee engagement activities.
  • Assist with ad hoc administrative tasks, including photocopying, faxing, and scanning documents.
  • Assist with recruitment processes including scheduling interviews, facilitating background checks, and maintaining candidate records.
  • Assist in the verification of I-9 documentation for new hires and assist in onboarding activities as required.
  • Support payroll and benefits administration tasks as required.
  • Assist in preparing and distributing HR-related communications, memos, and employee announcements.
  • Support the HR department in maintaining accurate personnel records and HR documents, including scanning, filing, and recordkeeping.
  • Perform additional duties as required to support HR operations and organizational goals.

What qualifications are required for this position?

  • 2-year Diploma in Business Administration, Office Administration, or a related field is preferred.
  • Minimum of 2+ years of experience in an administrative or office support role, preferably in HR.
  • Experience with HR-related tasks such as onboarding, recruitment, and maintaining personnel records is a plus.
  • Strong verbal and written communication skills.
  • Excellent interpersonal and customer service skills; friendly, approachable, and professional demeanor.
  • Ability to manage multiple priorities and thrive in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and comfortable with learning new systems.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent customer service orientation and ability to interface with all levels of the organization
  • Eagerness to learn, a willingness to think outside the box, accept new challenges, and have fun
  • Satisfactory completion of background check including criminal, credit and professional references
