About this position
The communications assistant is responsible for supporting the work of the Communications Department by overseeing logistics, facilitating collaborative efforts, and assisting with the day-to-day procedures and needs of the department.
The position reports to the communications manager and works closely with various staff in multiple programs within the organization.
The successful candidate has exceptional communication skills, is adept at working both independently and collaboratively within a small, close-knit team, and thrives in a fast-paced, deadline-oriented environment.
We are looking for someone with an upbeat, positive attitude who is eager to support the organization’s mission and achieve its strategic goals.
What you’ll be doing
- Managing the department calendar, including scheduling meetings and sending invites and reminders, etc.;
- Taking notes during meetings and creating action items for the team;
- Processing staff updates and managing distribution lists in Constant Contact;
- Managing and routing inquiries for organization's employee store;
- Coordinating requests for proofreading, design, printing, and translation services and other services provided by the department through the ticketing system (tasks include serving as a liaison and routing documents, proofs, and invoices between staff and vendors);
- Assisting with event planning and execution;
- Managing department and website email accounts, routing emails to appropriate staff;
- Coding credit card charges for department staff;
- Coding and routing invoices for approval in accounts payable system;
- Creating online forms and surveys;
- Providing initial review of documents submitted for proofreading and / or formatting / rebranding;
- Managing inventory of collateral and promotional materials and ordering additional items as needed;
- Assisting with gathering and tracking submissions for organization newsletter;
- Assisting the VP of communications and marketing and communications manager;
- Performing other duties as assigned.
What you bring to the table
- Associate’s degree or two to three years of relevant experience (bachelor’s degree preferred);
- Exceptional interpersonal skills;
- Excellent communication skills in English;
- Strong attention to detail;
- Excellent organizational skills;
- Excellent writing and proofreading skills;
- Ability to adhere to organizational style guide (knowledge of AP Style a plus);
- Personable and collaborative spirit;
- Ability to manage multiple time-sensitive projects simultaneously and prioritize as circumstances dictate;
- Proficiency in Office 365, including Microsoft Teams, Word, Excel, PowerPoint, etc.;
- Familiarity with volunteer management software (i.e., SignUp Genius) a plus;
- Familiarity with design programs (i.e., Canva, InDesign) a plus;
- Familiarity with forms platforms (i.e., Microsoft Forms, Tally) a plus.

Job specifications
- Reports to the communications manager;
- Non-exempt, full-time, twelve-month work year;
- Eight-hour workday; four-day workweek;
- Opportunity for hybrid work schedule to be approved by management;
- Limited evening or weekend hours may be required;
- Employment, responsibilities, compensation and other factors may be affected by changes in governmental regulations, the organization’s contracts, or at organization discretion.
Salary
- $24.00 - $27.00 per hour
